Job Description

The Program Manager/Executive Staff Assistant is responsible for performing a set of diverse complex program management and executive administrative duties for VP, Strategy & Corporate Development, VP, Core Markets and other key staff members of their leadership teams in worldwide locations, with a primary program focus in the Asia Region. This position requires the ability to communicate and translate, verbally and in writing, a wide variety of documents and correspondence between the Mandarin and English languages. This position requires high energy in program and administrative management, interface with high-level internal and external contacts, and exposure to sensitive information, requiring considerable use of tact, diplomacy, initiative, discretion and judgment. The successful candidate must be able to handle a high degree of confidentiality, possess business acumen, be able to connect a wide variety of worldwide program management activities into a cohesive picture and set of actions, and execute in a timely and appropriate fashion.


The Program Manager / Assistant performs a wide variety of program management, administrative and project-related duties for the above two VPs, including assisting in the corporate strategic planning process , preparing statistical reports and analysis, developing and preparing customer collateral and content for presentations under the direction of the VPsetc. Ensures that the Offices of both VP operate in an efficient manner by triaging all incoming/outgoing correspondence, coordinating and managing program activities, and supporting administration needs such as calendar and expense management, travel arrangements and other administrative and project related duties.Serve as a program manager for the Office of Strategy and coordinate worldwide strategic planning efforts.Serve as a program manager to assist in and help coordinate various China Strategic Council activities and programs. Assist the Program Managers in development and execution of project plans as assigned, including schedules, responsibilities, tasks.Support the development of quantitative program metrics or financials to be used for tracking and reportingIndependently resolve program tasks as assigned; escalate more complex challenges for resolution. Review Program milestones with Program Managers periodically to ensure programs are on track. Report project plans, progress/issues and results to key constituents.Serve as primary interface with assigned Asia constituency, which may include ADI employees, China customers and/or local government officials. As assigned, create or develop correspondence, presentations or outgoing materials in either Mandarin or English. Ability to communicate instruction and information effectively at all levels including executives (internal and external), administrative and line management personnel to gather and/or convey information pertaining to the VP requestsServes as a liaison between the VP and others as requested. Follows up to ensure timely response to projects and assignments. Monitors administrative assignments within the organization to set priorities for meeting deadlines and to balance VP's and own workloads. Screen and triage information on incoming documents which may require VP attention. Perform special assignments that require the successful candidate to exercise independent judgment such as determining appropriate content for customer enablement packagesCoordinates meetings, logistics and travel arrangements individually, and for VPs and/or project specific. Responsible for assisting with and preparing various statistical, operating and administrative reports and providing analysis and general recommendations on resultsAssists in the coordination, organization and planning of internal and external meetings/functions/seminars. Responsible for the coordination of all events and travel logistics i.e. itineraries, appointments, locations, transportation, etc. Because of the nature of ADI's business, a comfort level guiding activities with a diverse group of people on a global basis is needed, with a particular cultural understanding of the Asia RegionMaintains and updates strategic planning processes, program management tools, resource directories, Sales share point site, organizational charts, and other reporting systems as required. Assists with special projects as assigned that can include collecting/analyzing data, developing/administering surveys and preparing memos or content for presentations that may be used internally or externally with customers or government officials. Other duties as assigned.


Bachelor's degree required in Business Administration, Management (or equivalent), graduate degree preferred, and a minimum of 3 years of program management and administrative experience at the VP/Executive level, or equivalent combination of education and experience Excellent communication skills (verbal and written, with an emphasis on grammatical skills); Fluency in English and Mandarin is required; fluency in Japanese desirable.Highly proficient with the MS Office suite - including PowerPoint, Outlook and Excel. Knowledgeable with computers, printers, copiers, fax machines, and telephone systems Excellent organizational, program and time management skills Experience interfacing with other countries outside of the U.S., in particular with Asia Pacific and China. Must possess specialized knowledge of Asian culture and customs, Asian marketplace, Asian customers/government officials and Regional processesAbility to conduct business coordination on behalf of the VP, and travel to worldwide locations to fulfill business needsProfessional appearance, demeanor and behavior Commitment to excellence and high standards. Quality and process focused. Ability to work with minimal guidance and comfortable with a staff that travels extensively Demonstrates solid judgment with the ability to make timely and sound decisions. Requires substantial, demonstrated ability in problem-solving and analytical skills; managing multiple priorities and work flow, attention to detail, working collaboratively, exercise of judgment and discretion and respecting and maintain confidentiality. Possesses a high degree of confidentiality, discretion, sensitivity & insight to high-level business issues & challenges Ability to anticipate needs, manage process and drive results. Looks to constantly expand the boundaries of the position. Able to maneuver between Mandarin and English languages in all written and verbal communications with ease.

For positions requiring access to technical data, ADI may have to obtain export licensing approval from the U.S. Department of Commerce - Bureau of Industry and Security and/or the U.S. Department of State - Directorate of Defense Trade Controls.
