Job Description
Provides a wide variety of advanced clerical and administrative support for one to two senior management associates. Duties and tasks reflect substantial variety and complexity and will include researching and obtaining information and preparing operational and client reports; performing budget administration; providing team support for other administrative personnel; preparing internal and external company correspondence; coordinating meeting and travel arrangements; recording meeting minutes; preparing presentations; working on special projects. Work is generally of a critical or confidential nature and requires a broad knowledge of department and company practices, policies, procedures, programs, product lines and systems.
RESPONSIBILITIES:
* Performs advanced clerical duties with a high degree of urgency in a frequently changing fast-paced environment
* Peforms work assignments with a high degree of accuracy and attention to detail
* Performs duties utilizing knowledge of departmental and company practices, policies, procedures, programs, product lines, and systems
* Researches and obtains information for routine and often moderately complex reports; compiles and analyzes data
* Provides reports to company management and clients as required; makes recommendations as appropriate for consideration and/or action by superiorr
* Prepares presentations, executive correspondence, memorandums, reports, special announcements and distributes to internal and external sources as appropriate
* May act as a coordinator of departmental projects, following up on pending details, coordinating project team activities and ensuring deadlines are met
* Performs special project assignments and effectively communicates with appropriate representatives from a variety of functions within the company to accomplish goals
* May provide guidance to lower level clerical or administrative staff
* Maintains calendar of appointments, meetings and travel itineraries
* Attends department and center meetings and documents pertinent action items for distribution to appropriate individuals; takes minutes and distributes as appropriate
* Coordinates agendas for visitors to the center; coordinates activities between departments and outside parties
* Coordinates meeting and meal functions/arrangements for on-site and off-site meetings * Assists with planning team and center events and celebrations
* Exercises independent judgment and exceptional reasoning skills in order to serve as a resource to others in the resolution of moderately complex problems and issues
* Handles inquiries within bounds of authority and directs to appropriate parties when answer is beyond authority given
Qualifications:
JOB REQUIREMENTS
* 3+ years administrative experience
* Proficient in MSOffice, including Outlook, Word, Excel, PowerPoint, Access, and other databases
* Strong excel skills to include, using, creating, modifying pivot tables, formulas and V-lookups.
* Effective time management skills and organizational skills and ability to deliver on multiple priorities
* Ability to interface with various levels within the organization
* Strong interpersonal skills
* Strong mathematical skills
