Job Description
The Administrative Manager is responsible for the effective administration of all non-clinical operational and financial activities of a clinical division within the Department of Anesthesia, Critical Care and Pain Medicine. Drawing on a broad understanding of Hospital practices and policies and displaying a high degree of initiative and independent judgment, the Administrative Manager will continually assess and direct a wide range of programmatic issues including personnel, operational and financial management, long-range planning and project development. This position will collaborate with and receive general direction from a Division Chief(s) and the Administrative Director of Finance and Information Technology
This position requires strong written and verbal communication, interpersonal skills and leadership abilities; Superior skills in personnel and financial management; Oversight of day-to-day operations; Focus on continuous process improvement; attention to detail; ability to work with physicians and portray a strong sense of fairness in dealing with staff at the subordinate, peer and superior levels. Troubleshoots and resolves issues as they arise. Informs all non-clinical staff of policy and procedural changes. The ability to delegate assignments as necessary, but must be able to gage staff capabilities and mentor in order to promote professional development at all levels. Identifies and evaluates the means for improving systems, costs and distribution of personnel. Makes recommendations for improvement in division to Administrator Director (AD) and/or Division Chief. Manages and resolves customer complaints. Ultimately responsible for ensuring that each function and area of responsibility listed below is achieved.
Clinical Division - General Responsibilities:
1. Responsible for overall division administrative and clinical operations for clinical areas
2. Ensures compliance with all Joint Commission, OSHA, HIPPA , institutional representatives. Responsible for billing compliance, completion and development of compliance and reporting tools and mechanisms.
3. Partners with clinical leaders to ensure effective coordination for divisional initiatives for the relevant clinical settings. Provides necessary support to manage work plans, timelines, process plans and deliverables as needed for project management.
4. Assists the Division Chief in establishing policies and procedures. Evaluates initiatives and implements various systems and procedures to maximize efficiency.
5. Coordinates and oversees the front-end billing processes. Tracking all critical elements such as billing lag, re-submission, claim denial explanation and potential correction strategies for process improvement. Identifies and coordinates proper use of technology in order to achieve maximization of resources.
6. Monitors monthly services statistics, including volume and facilitates strategies for improvement in utilization. Responsible for variance reporting and explanation.
7. May coordinate clinical scheduling in Open tempo, vacation, meeting requests to insure maximum utilization of professional staff coverage.
8. Tracks physician activity and revenue. Analyzes trends and areas of opportunity and liability.
9. Coordinates division projects, mailings and/or any outreach activities.
10. Collaborates in the development of business and marketing plans of the division.
11. Provides management and oversight of process improvement efforts including on-going initiatives as well as project management of any new initiatives.
12. Coordinates with Partners Information services to arrange for hardware/software installation, troubleshooting, system access. Serves as a resource for questions related to information systems.
