The position of Administrative Assistant reports directly to the Regional Vice President and works independently performing a wide range of complex administrative and clerical support duties. The position requires excellent organizational, communication and interpersonal skills and the ability to provide timely information and services to a wide range of both internal and external customers.

The position requires a working knowledge of office processes and related computer software and electronic communications tools, and the ability to work across teams and with a variety of projects and resources.

RESPONSIBILITIES

Provide a wide range of complex office administration tasks in support of the Property Management department operations and direct administrative support to the Regional Vice President.

*

Serve as principal administrative contact and liaison to the Regional Vice President and property management/engineering/accounting staff.
*

Develop, implement and administer departmental office systems and procedures.
*

Actively maintain staff calendar, coordinate meetings and conference calls as required.
*

Screen calls and voice mail as requested.
*

Greet visitors, receive and distribute packages and mail daily.
*

Copy, scan, mail and courier items on a daily basis.
*

Provide document preparation support including: memos, reports, course materials, presentations.
*

Purchase and maintain inventory of supplies for the regional office, as necessary.
*

Perform routine research work using the Internet and other company resources.
*

Create and maintain electronic and paper filing system(s).
*

Route phone calls, mail, email and other departmental information.
*

Assist in management of Building Engines system/requests as a back-up to Tenant Coordinator position.
*

Assist with leasing related documents, such as the preparation of LPSs and proposals and input of information in the VTS system.



REQUIREMENTS

*

Bachelor s degree; minimum 3.0 GPA.

*

Ability to work in fast-paced, collaborative, and results driven environment.
*

Strong communication skills, both verbal and written.
*

Exceptional organizational/time management skills.
*

Excellent client service orientation.
*

Impeccable follow up skills and commitment to keeping staff informed of status of projects and completed tasks.
*

Reliability and ability to maintain confidentiality.
*

Strong proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
*

A communications and computer skills test will be administered.
