JOB DESCRIPTIONUnder the direction of the Executive Vice President & COO, this position provides advanced and confidential daily administrative and clerical support to Management. Prepare and distribute correspondence as well as monthly reports, presentations, agendas and calendars. Plan and arrange travel and meeting schedules and manage the home office facilities. Plan and execute special events throughout the calendar year.
? Manages EVP calendar while ensuring that priority items receive the appropriate attention: Develop and maintain open communication to know what is happening on a day to day basis. Use email system and follow up in person to ensure information is communicated in a timely fashion.
? Compile information and prepare reports using the appropriate software: Ability to learn new programs, take excellent notes
? Organize materials, binders, paperwork for meetings and presentations
? Serve as Human Resource and Payroll Liaison, process new hire paperwork, maintain employee files: Attention to details, follow through, discretion, and diplomacy
? Plan and coordinate company special events- Research locations, negotiate prices, coordinate transportation, and design menus
? Update and maintain employee directory, company documents and internet pages: Accurate Date Entry
? Create and distribute periodic employee newsletter: Excellent judgment on covered topics and visual layout. Attention to details
? Maintain vendor relationships ? Diplomacy and patience
? Assist with overall Agency Licensing Compliance duties
? Facilitate and report issues to Property Management
? Tactfully handle questions and requests from departments ? Be diplomatic and have clear communication
? Work independently and within a team on special projects ? Be proactive and take initiative
? High level of data entry skill, 65+ wpm required.
? High level of Customer Service Focus both internally and externally
? Excellent communication skills ? verbal and written
? Ability to multi task as it relates to phone communication and data entry simultaneously
? Ability to prioritize work from multiple managers (3-5)
? Advanced level skills with Microsoft Office programs (Word, Excel, Powerpoint, Visio, Outlook)
? 2 years college courses or vocational/technical school a plus
? 3-5 years? experience in an office environment
