Department: Support Services

SUMMARY: Relieves Department of Support Services staff of clerical work and minor administrative and business detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


Support VP of Support Services heavy calendar management, screen incoming calls, schedule all meetings and serve as the first contact for vendors and staff.


Provide support for Director of Purchasing assist with hospital wide purchase order and WB Mason requests. Input all purchase order information in Meditech so orders can be received.


Provide support for Director of Food Services assist with various projects as needed.


Office Management coordinate meetings, reserve conference rooms, order and maintain all office supplies, maintain all files, process purchase orders, screen incoming calls and mail. Assist with employee relations; serve as a contact for staff questions and concerns.


Process, edit and submit timesheets for Housekeeping, Maintenance, Dietary, Security, Switchboard and Purchasing departments.


Coordinate/establish schedules for Housekeeping, Switchboard, Security and Maintenance.


Maintain all time off requests and assist with scheduling coverage.


Create and edit memos and announcements.


Record and submit minutes for Executive, Board and Subcommittee meetings.


Prepare PowerPoint Presentations and reports for the following committees: Performance Improvement, EOC, Survey Readiness, Infection Control, Board and Senior Management Meetings.


Update and maintain department policies using Policy Tech.


Maintain and assist with updating vendor contracts.


Monitor all records for Statement of Conditions and correspondence with JCAHO. File all required documentation according to Joint Commission Life Safety Code Standards


Renew all building permits. Inspectional Certificates, Public Safety and Health Permits.


Maintain inspections such as fire/vehicle/boilers/insurance.


Assist with scheduling quarterly fire alarm testing. Prepare quarterly checklist template for AFA.
