Position Summary:

Berkeley Labs Engineering Division has an exciting opportunity for an Administrative Assistant to provide customer-focused, dependable, and motivated intermediate-level administrative support. Assignments will be primarily routine and may occasionally require judgment and initiative to resolve a variety of administrative problems. This position reports to the Senior Division Administrator.

Specific Responsibilities:

*

Provide general administrative support to the Engineering Division.
*

Impart excellent customer service to visitors and colleagues.
*

Schedule and coordinate logistics for meetings, interviews, seminars, and facility tours.
*

Assist with making travel arrangements.
*

Process expense reports.
*

Prepare for the arrivals of new employees and visitors.
*

Screen and direct telephone calls.
*

Compose routine written correspondence.
*

Update and maintain files and electronic databases.
*

Submit and follow-through on check requests and purchase requisitions using established procedures.
*

Ensure operation of office equipment, troubleshoot malfunctions and/or call for repairs.
*

Coordinate the maintenance of facilities and vehicles through internal request process.

Required Qualifications:

*

2-4 years of experience providing administrative support.
*

Ability to learn and consistently apply knowledge of relevant Berkeley Lab policies and procedures.
*

Fundamental skills in written composition, proofreading, and editing.
*

Proficiency in word processing, spreadsheets, and database applications.
*

Capacity to learn new software applications and perform basic arithmetic calculations.
*

Experience in scheduling and coordinating meetings.
*

Demonstrated professional communication and interpersonal skills, effective teamwork and collaboration.
*

Organizational skills, attention to detail, accuracy, responsiveness and follow through.
*

Resourcefulness in handling routine tasks independently or with general instruction for new assignments.

Other Desired Qualifications:

*

Experience arranging travel and processing expense reports.
*

Practice with Google email and calendaring systems.
*

Background in a scientific, technical, research, or academic environment.
*

California drivers license.

This is a full time career appointment.

Incumbents in this position are represented by a union for collective bargaining purposes.

Salary will be predetermined based on range determined by collective bargaining agreement.

This position is contingent on the successful completion of a background check.
