li Provides advanced assistance to a departments /li li Coordinates, assists and supports Care Management initiatives /li li Coordinates all company/corporate travel arrangements /li li Operates a multi-line telephone system transferring callers to the appropriate destination, and overseeing the maintenance of the system /li li Provides direction to couriers and delivery personnel regarding incoming and outgoing correspondence and related items for the organization /li li Records meeting minutes at monthly meetings /li li Maintains current e-mail addresses, email distribution lists and fax numbers /li li Schedules meetings, appointments, and events /li li Maintains Annual Event calendar /li li Acts as a back-up for provider and member satisfaction surveys /li li Orders and picks up food for meetings /li li Prepares meeting room and packets for monthly Med Management meetings /li li Produces assigned correspondence, reports and presentations /li li Prepares routine and original letters, emails and memorandums for executive’s or staff’s review /li li Researches and responds to a wide variety of information requests from VP of Health Services, Directors, Managers and other professional staff /li li Files correspondence and other material /li li Assistance in obtaining access to various databases and programs for clinical staff (i.e. Sandlot, QNXT, QicLink, UHCWest, Availity, EMR Systems) /li li Acts as backup on the process for Fax Alerts /li li Researches and calls appropriate companies for overcharges on invoices /li li Prepares or assists in expense and Mileage reports /li li Updates communication monitors/devices as needed /li li Coordinates building access with building management /li li Coordinates facilities need, requests or issues with Facility Manager /li li Prepares physician review invoices and submits to accounting /li li Maintains VP of Health Services and Director of Care Management calendar /li li Provides direction to courier and delivery personnel regarding incoming and outgoing correspondence and related items /li /ul
B /B br B Qualifications: /B br ul
li 5 years' experience as an Executive Administrative Assistant with at least 2 years full-time healthcare office experience /li li Ability to transcribe dictation and take minutes at meetings is necessary /li li Must have experience with multi-line telephone system /li li Must be proficient in Microsoft Word, Excel, Access, PowerPoint, Outlook /li li Must be able to sit, answer telephone, and use the computer for long periods of time /li li Must have excellent organization skills and problem solving skills /li li Must have excellent oral and written communication skills /li li Must display professionalism at all times /li li Must be able to uphold confidentiality requirements of the organization /li li Knowledge of specific regulatory, managed care requirements /li
