JOB DESCRIPTIONAdministrative Assistant II is responsible for performing complex administrative and secretarial duties of a highly responsible and confidential nature.? Requires independent judgment and initiative.? Responsibilities include: providing work guidance and training other clerical employees; anticipating and preparing materials needed by management for conferences; manage calendars, travel arrangements, appointments, telephone calls, etc.; composing and typing correspondence requiring some understanding of technical matters; and collecting, compiling and analyzing data.? Typically reports to a Director level. Ability to multi-task. In-depth knowledge of Microsoft Office.? Proficient in spelling, grammar and composition.? Strong written and verbal communication skills.? Strong analytical skills.? Candidates must possess a High School diploma or equivalent with 3-5 years of related work experience.
-Manually insert Task Order, Contract number information on all agency Invoices monthly using Adobe Pro
-Email monthly Invoices to agencies via SalesForce. Invoice submissions via IPP, VIPERS, and MetTel.
-Mail hardcopies of Invoices to agencies that require it
-Maintain the Invoice deliverables spreadsheet with POC information
-Work with billing to resolve any Invoice issues and disputes
-Provide CDRs and RUIR to agencies that request it ? work with billing
Check requests (ongoing):
-Process all W-9 and check requests via PeopleSoft (PS access would be needed)
-Track status of payments
Additional support as needed; projects, etc. Maybe assist with Customer inquiries, if needed.
