JOB DESCRIPTIONAPPLY The Administrative Assistant II Structural Heart performs a variety of administrative functions. This position reports to a director and provides assistance utilizing secretarial support skills to maintain departmental operation. 1. Coordinates the daily operations of the HUMCCP office to ensure smooth work flow and efficiencies. Demonstrates continuous effort to improve operations and streamline office processes. 2. Maintains physician s calendar ensuring meetings are accurate. 3. Coordinates travel arrangements as it relates to the Structural Heart Program 4. Schedules appointments, meetings or conferences for departmental personnel utilizing interdepartmental and/or hospital wide computerized scheduling systems. 5. Prioritizes calls through screening process, transfers calls, records messages, and delivers to appropriate personnel. 6. Coordinates special projects as instructed, composes memos, transcribes notes, and researches and creates presentations. 7. Composes replies to correspondence, memos and inquiries from department representatives, physicians, other hospital personnel or outside agencies. Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports. 8. Takes and/or transcribes minutes at meetings. 9. Reviews and distributes daily mail correspondence to appropriate personnel. 10. Orders office supplies and maintains inventory. 11. Maintains up-to-date departmental manuals and files. 12. May assist with compiling and developing the annual budget. 13. Meets both department and individual goals. 14. Adheres to the standards identified in the Medical Center s Organizational Competencies. Working Conditions: Lifts a minimum of 10lbs., pushes and pulls a minimum of 15lbs. and stands a minimum of 1 hour a day. Education, Knowledge, Skills and Abilities Required: 1. Associates degree or equivalent work experience in a healthcare office. 2. Proficient in MS Office Applications. 3. Experience in health care or corporate sectors. Education, Knowledge, Skills and Abilities Preferred: 1. Bachelor s Degree preferred. 2. Knowledgeable in ICD-10 and CPT codes 3.
