Job Description



The Medical Services Support in Iraq (MSSI) Program Manager establishes a clinically safe and professionally managed healthcare environment and provides primary health care as well as resuscitative surgical care in accordance with U.S. or equivalent medical standards on a 24-hour basis, 365 days of the year to Chief of Mission (COM) personnel U.S. Embassy Baghdad, serving a population of approximately 6,600 adults.

SCOPE:

The Administrative Assistant (aka Medical Administrative Support Specialist) is responsible for routine administrative and support to help keep MSSI-Iraq health care sites running efficiently. The Administrative Assistant supports the Program Manager and performs additional duties as an Administrative/Logistics Specialist however is a more experienced and possesses education and training sufficient to serve in this unique role. Tasks include the following:

* Review and answer correspondence

* Coordinate collection and preparation of operating reports such as time and attendance, terminations, and budget expenditures

* Work with unit operating practices, such as record keeping systems

* Interview job applicants

* Answer calls, schedule appointments, greet patients, and keep files

* Update and maintain patient charts

* Monitor radio communication and internet communication.

The Administrative Assistant supports and reports to and is supervised by the MSSI-Iraq Program Manager or a designated PMO Manager.

The Administrative Assistant also performs routine logistical support tasks such as receiving material and routing it to a responsible party.

All services shall be provided in accordance with established standards, principles and ethics of the profession, applicable professional specialty organizations, and the high-quality standard for which CHS is recognized.



Required Skills

REQUIRED CERTIFICATION, QUALIFICATIONS, AND EXPERIENCE:

* Requires the equivalent of a two-year college level program in administration or medical administration or a closely related field; A College degree in Business Administration, Management, or a closely related field is highly desirable.

* A minimum of 4 years relevant experience in a hospital or physician s office setting; or other relevant and creditable experience may substitute for some education or training.

* Certified Medical Administrative Assistant (CMAA) is highly desirable.

* Training in the U.S. Army as a 68G - Medical Administrative Specialist or the equivalent or documented service in a similar military logistics organization is qualifying.

* Familiarity with Defense Medical Logistics Standard Support (DMLSS) or U.S. Military Medical Logistics is a plus.

* All Medical Support Staff must have current experience and have worked a minimum of 6 of the last 12 months in desired career field.

DUTIES AND RESPONSIBILITIES:

* Assists with the managing the day to day activities and prioritizing tasks.

* Coordinates and implements office services, interprets and communicates operating policies.

* Analyzes Health unit operating practices such as record keeping systems, forms control, office layout, and creating new systems or revising established procedures.

* Locates and compiles information and formats reports, graphs, tables, records and other sources of information. Assembles and categorizes facts and figures for written computation and calculations.

* Operates personal computer to access e-mail, electronic calendars, and other basic office support software. Uses various software applications, such as spreadsheets to manipulate and/or format data and/or reports.

* Performs duties in a safe manner. Follows the corporate safety policy. Participates and supports safety meetings, training and goals. Ensures safe operating conditions within area of responsibility. Identifies close calls and/or safety concerns to supervisory personnel. Maintains a clean and orderly work area.

* Complies with all applicable CHS standards and guidelines.

OTHER DUTIES:



All MSSI-Iraq personnel will document work performed, up-date patient files, as required and follow up to close out action items.

* Attends and participates in a variety of meetings and task force groups to improve quality and outcomes, communicate issues, obtain approvals, resolve problems and maintain specific level of knowledge pertaining to new developments, new task efforts, and new policy requirements.

* Other duties as assigned.

OTHER REQUIREMENTS:

* Must have a valid, current U.S. Driver s License

* Must have a current U.S. Passport.

* Must sign a CHS Foreign Service Agreement (FSA) and is bound to the terms and conditions of the FSA.

* Shall be proficient in the ability to speak, write and communicate in English.

* Work hours are based on a 72 hr. work week; typically six 12 hour days but other variations may apply.

* Requires a favorably adjudicated Moderate Risk Public Trust (MRPT) investigation conducted by the Department of State, Bureau of Diplomatic Security.

* Shall attend a Pre-deployment Counter Terrorism training course prior to deployment to Iraq.



The following requirements apply to all Administrative Assistants:

* Participate in training, (including HIPAA training) that may be required by DOS or CHS prior to deployment to Iraq.

* Shall complete a Foreign Affairs Counter Terrorism training course prior to deployment to Iraq for work on the MSSI-Iraq contract. Training will include: Combat First Aid, Weapons Familiarization, Defensive Tactics/Driving, IED recognition, Surveillance Detection and Hostage Survival and Personnel Recovery

* Will have a valid, current U.S. Driver s License

* Will have a current U.S. Passport

* Shall be proficient in the ability to speak, write and communicate in English.

* Shall demonstrate proficiency in the use of basic word processing programs and the CHS Medical Management System software.

PHYSICAL REQUIREMENTS:

* Must be confirmed by a medical examination to be medically and dentally fit in accordance CHS Medical Readiness Guidelines and Policies and/or as dictated by the Client.

* No conditions that would prevent the wear of personal protective equipment; including protective mask, ballistic helmet, body armor and chemical/biological protective garments or conditions that would prevent the capability of donning, lifting or carrying of up to 70 lbs. of referenced gear while running to a bunker or protected area in the face of perceived or imminent danger.

* Work is normally performed in a typical interior/office work environment; travel in Iraq is required by surface or air.

* The climate is desert-like, hot, and prone to dust storms.
