Administrative support in Mercury, NV with minimal supervision in a professional, teamwork-oriented environment. Interact extensively with other co-workers and management to gather, clarify, and disseminate information and coordinate activities. Generate and process requests for training or qualification assignments. Generate and process training documents and forms to support customer needs. Participate in the development of, organization, and preparation of presentations. Compose and distribute various routine memoranda, letters, reports, and forms. Attend weekly and monthly meetings; take minutes and transcribe into final documents; track follow-up actions as required. Maintain, organize, and control management files; prepare reports. Receive and screen phone calls and direct them to appropriate personnel. Collect, process, and distribute hard copy and electronic mail and handle routine items independently. Review deliverables of assigned projects and monitor quality to ensure that all documents conform to established standards and directives. Schedule, maintain, and track appointments. Prepare agendas, itineraries, and expense reports. Coordinate meetings, including arranging for facilities and equipment. Assist personnel with operations records and document control.
Administrative Assistant II must have a High School Diploma or G.E.D., plus 5 years’ experience. Ability to perform under minimum supervision in a dynamic work environment; excellent written and oral communication and organizational skills; demonstrated knowledge of administrative functions; knowledge of grammatical rules, spelling, and punctuation; very good interpersonal relationship skills. Computer skills with software applications such as MS Office (Word, Excel, Power Point, Access). Must be able to effectively cope with conflicting deadlines, frequent interruptions, and multiple tasks to meet scheduled deadlines. Excellent interpersonal skills and ability to communicate with people inside and outside organization in a tactful and professional manner. Must possess an appropriate, valid driver’s license. Ability to follow established processes and lift up to 55 pounds is required.
Period of performance is September 5, 2016 through September 30, 2017, with a potential to extend.
