JOB DESCRIPTION(3) Administrative Assistant's needed to work in the City of Anaheim on a long term temporary assignment.
Previous administrative experience is required. College degree strongly desired. Must type 50 wpm and perform transcription. Must be able to operate a computer and peripheral equipment. Advanced Microsoft Word, Excel, Outlook and PowerPoint is required. Business application software including spreadsheets, database and word processing skills is required. Must possess intermediate math skills and be able to operate a calculator. Excellent oral and written skills required.
Responsibilities: Position will be responsible for supporting planning with data entry of service facilities for the MHP Planning and Construction project team. This duties include permit administration and processing, submittal of easement requests and additional documentation to the SoCalGas Land and Right of Way department, coordination with SoCalGas Technical Services offices to facilitate tax and franchise fee payments, comparative review of as-built with planned main and service orders within the SAP base Construction, Planning, and Design (CPD) work management system as well as other project reconciliation duties. Position provides administrative support for the MHP Planning and Construction (25 team members) as well under the direction of the Planning and Construction Manager, Planning Project Specialist, Planning administrator and Recon Project Specialist. Duties include but are not limited to: office supply procurement, file management, budget report generation, and other administrative related duties. In addition, support special projects related to the MHP that include presentation, spreadsheet, and process flow development. Works primarily independently under limited supervision and many times with a sense of urgency, performs advanced and highly complex administrative/clerical functions including: types letters, data entry for service orders into Construction, Planning and Design system (CPD), generate construction packages, order materials, place projects on schedule with dispatch, memoranda and forms, orders supplies, maintains files, answers telephones. Plans or schedules own work. Coordinates and/or takes lead responsibility on special projects requiring advanced skills. Uses business applications software and peripheral equipment. Creates, maintains, updates databases and delivers customized reports on demand. Composes correspondence and reports for supervisor?s signature. Reviews written material for accuracy and completeness. Checks calculations for accuracy. Reconciles report data.. Follows established safety procedures. Performs various other equivalent and lower grade functions. Maintains and prepares records. Maintains mailing lists for internal and external distribution of periodic reports. Maintains records on mainframe reports.
