Job Title: Administrative Assistant/Receptionist
Job Summary: Provides general office duties to support the client business; Compiles and maintains records of business transactions and general office activities of establishment by performing the following duties. Provides support to office end-users, senior level sales executives, customers, and FM managers; performing administrative duties using some independent initiative and judgment. Must demonstrate knowledge of company policy and organization. Must exhibit professionalism on consistent basis, use general office equipment and PC in performing assigned tasks. Answer telephone and takes and relays messages. Must be an independent worker and work under normal supervision.
Qualifications: include the following. Other duties may be assigned.
Coordinate and implement special projects; maintain confidential files; attend staff meetings, take and distribute minutes and follow-up on action items.
Coordinate meetings both internally and externally; maintain calendars and/or daily schedules for the office.
Communicate with managers outside the local office and across functions; communicate with outside customers and vendors
Coordinate with FM manager and IT specialists with new hire and existing employee moves by establishing IT accounts, telephone extensions, badges, etc.
Screen telephone calls, distribute mail, update contact lists and maintain literature room
Keeps accurate files of all office related issues, ensuring files are up to date and complete.
Provide back-up telephone coverage for the office
Type letters, reports and other correspondence
Order office supplies
Answers incoming calls, receives visitors and customers in person and direct to appropriate locations and parties.
Answer incoming calls utilizing a multi-line telephone system; Update phone listings.
Receive visitors, determine the nature of the visit and direct/announce accordingly; Also enforce appropriate security directives ( ie, issuing visitor s badges, sign in/out logs).
Complete clerical work such as; typing, filing, sorting and distributing mail.
Process GELCO, EMR's and check requests.
