li Operating in an international & rapidly evolving team, the Administrative Assistant provides support to the two Vice Presidents of the high profile Digital Innovation team /li li The Administrative Assistant will provide critical day-to-day coordination and support to the Innovation Team Leadership team and its members /li li They must be positive, proactive and enjoy working within a fast moving, global and highly entrepreneurial team /li li The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, numerical and organizational skills /li li They must also have the ability to maintain balance among multiple priorities /li /ul
  br Roles and Responsibilities: br ul
li Supports the Innovation Outpost with a variety of important support tasks such as: managing an active calendar of calls, appointments & visits; working in partnership with finance to perform vendor management & budget oversight; support planning for Senior Executive visits including pre-read materials, itineraries and logistic support /li li Assists innovation team executives with travel arrangements to conferences, events & other  markets /li li Communicates directly, and on behalf of the Innovation Team to coordinates meetings & communications with both internal and external stakeholders /li li Works closely and effectively with the whole of the Innovation Outpost Team (approximately 15 people) to ensure everyone is well informed & prepared of upcoming commitments (ex. Management Visits) and responsibilities /li li Prioritizes conflicting needs; handles matters swiftly, proactively, and follows-through on tasks to successful completion /li li Maintains discretion and confidentiality regarding the work of the Innovation Team. /li /ul

li Ensures that the Innovation Outposts weekly tasks are effectively communicated, managed & accomplished /li li Follows up on contacts made by the Innovation Team to third parties, supporting the cultivation of a strong startup network that the team works closely with. /li /ul

li Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail /li li Very strong interpersonal skills with the ability to build close relationships not only with our team but our partners /li li A highly capable team-player, with the capacity to work well in a small team as well as independently /li li Solid financial understanding in order to work with the finance team, to help the team with project & yearly budgets, setting up new vendors in the Vendor Management System, apply for funding, process invoices & working with our partners to ensure timely payment /li li Expert level written and verbal communication skills are required /li li Technologically literate /li li Demonstrated ability to work efficiently & effectively, completing tasks & helping the team in what is an incredibly fast paced yet exciting environment /li li Forward looking
