The Information Technology department is seeking an
experienced Administrative Assistant professional
working in a fast-paced environment with Advance MS
Office Skills, ability to multi-task and meet deadlines.
Key Responsibilities:
* Perform general administrative & office support for
multiple Team Partners
* Managing calendar
* Travel arrangements
* Scheduling dept. training
* Ordering Department Supplies
* Process weekly AP invoices for payment
* Allocate expenses through JP Morgan Procurement
* PO Processing
* Equipment Orders for fulfillment of Incident
* Maintain records of fiscal year spending
* Follow-up with vendors and/or Team Partners
* Monthly Reporting
* Department Metrics
* Reconciliation of Key Reports
* Maintain Department Organizational Charts
* Back up Assistance for Personnel Administration
* Handle Dept personnel records
* Payroll processing for staff of 100+
* Liaison for staff and Human Resources/Payroll
* Back up Assistant for Recruitment for Department
* Work with Management on job reqs
* Coordinate postings
* Filter candidates
* Schedule interviews
* Preparation of Offer Letter and new hire process
* Contract Maintenance
* Receiving & Directing visitors
* Daily mail distribution for department
* Receiving and tracking daily shipments
* Screen department telephone calls
* 2-5+ years related work experience
* Associates Degree and/or Certified Professional
Secretary designation preferred
* Advanced MS Office skills & Internet required
* Experience with using advanced Excel
functionality such as pivot tables, vlookup,
* Knowledge of Concur Travel Site
* Knowledge of OrgPlus
* Knowledge of JP Morgan Procurement or other
procurement site
* Must be organized, ability to multi-task with
excellent time management skills
* Ability to maintain composure and re-prioritize work
in a fast changing environment
* Ability to take initiative, assume responsibility,
and follow up as needed
* Ability to work independently, self-learner
* Accounting knowledge
* Strong editing and proofreading skills & unyielding
attention to detail
* Sensitivity to confidential information and matters
is required
* Ability to work well with all levels of internal
management & staff, as well as outside vendors
