JOB DESCRIPTIONAPPLY Act-1 Group is looking for a full-time contract employee to work onsite at Bonneville Power Administration (BPA), located in Portland, Oregon. The Administrative Services Assistant 3 position will provide a wide range of Administrative and confidential support to the PSS Managers and the immediate staff within the organization.
? Provide a wide variety of secretarial, clerical, and administrative support to PSS and backup support to the PST & PSW workgroups. Perform administrative tasks as needed to include, performing administrative-related special projects; creating, editing, and reviewing documents, correspondence, research, and presentations using Word, Excel, PowerPoint, and Adobe Acrobat; and copying, collating, faxing, answering phones, etc.
? Maintain efficiency of the PSS organization; devise, recommend, and look for ways to improve office procedures and practices to be used by staff within PSS. Serve as a resource and information contact for other support staff.
? Respond to procedural or routine inquiries and issues presented to the PSS manager by members of the staff, officials throughout BPA, customers, or news media. Notify the appropriate staff of the need for information or recommendations, and either prepare the response for manager review or follow up to help enable a timely response by others.
? Responsible for coordinating appointments for PSS manager, with complete authority for commitments of time when requested. Arrange meetings, conferences, and presentations and associated logistics (securing rooms, phone bridges, projection, etc.). This includes preparing agendas and developing background information.
? Maintain and administer an array of SharePoint sites:
o Maintain and administer the PSS organization; the Power Decision Team (PDT), a key decision-making forum; and other meeting/project SharePoint sites, including:
? Maintaining advanced SharePoint features including searching, confirming they are up to date and functioning as designed. Assist staff in using PDT SharePoint features including posting and searching.
? Serving as editor and contributor to SharePoint team sites.
? Setting up document repositories, workspaces, and tracking lists.
? Managing content changes, additional content, and site permissions.
? Maintaining a tracking system of suspense items to verify timely compliance with scheduled responses or actions utilizing SharePoint. Coordinate work unit responses for time-critical documents.
? Responsible for all records management within SharePoint, and maintain conformance with records management policy and procedures.
o Develop and maintain the New Large Single Load SharePoint site, including:
? Posting documents.
? Tracking site permissions and verifying they are up to date.
? Serving as Point of Contact on site and teach others how to use the site.
o Support the PSS SharePoint site, including:
? Assisting SME in assuring that the site is up to date with current information.
? Posting information to site.
? Maintain appropriate office and official document retention, including physical and electronic official files, within SharePoint, Electronic Records Management System (ERMS), and workgroup shared network drives. Maintain file records in accordance with the Information Governance & Lifecycle Management (IGLM) system.
