Reporting to the Strategic Executive Administrative Team (SEAT) Director of Business Operations, the Administrative Specialist provides executive level administrative support to the Chancellor's Organization, Provost & Executive Vice Chancellor's organization, Vice Chancellor for Planning and Budget organization, and any other organizations as determined by the Chancellor and Provost/EVC. This position independently processes financial transactions including purchasing, travel & entertainment reimbursements; arranges travel, orders supplies for the office, and processes on-line orders for communications, fleet, printing and physical plant; assists on special projects as assigned including PowerPoint presentations; and proofreads/edits documents.. Provides support for the front-desk/reception area, including answering phones, scheduling meetings, and arranging catering; serves as the student assistant's supervisor; serves as the focal point for incoming correspondence to the Provost & Executive Vice Chancellor's Office; will serve as the BAS payroll liaison; has responsibility for maintaining the document management system; and will provide recruitment support to the Senior Human Resources Analyst.
Bachelor's degree in related area and/or equivalent experience/training.
Minimum of 2 years of related experience.
Demonstrated progressively responsible administrative experience in an office environment providing high levels of administrative support for staff and/or faculty.
Experience in an academic environment.
Demonstrated experience processing routine financial accounting transactions with an online financial system.
Demonstrated experience using Microsoft Office software applications at an intermediate to advanced level.
Solid communication and interpersonal skills to communicate effectively with all levels of staff, both verbally and in writing.
Ability to use sound judgment in responding to issues and concerns.
Solid organizational skills and ability to multi-task with demanding timeframes.
Ability to use discretion and maintain all confidentiality.
Ability to work under the pressure of constantly changing priorities, unanticipated urgent demands, and multiple tasks.
Knowledge of Generally Accepted Accounting Principles, budgeting, and fund accounting.
Skill in accurate record keeping with strict attention to detail, and organizing tasks, documents and materials with efficiency and accuracy.
Demonstrated skill in drafting letters, memos, and reports for signature or review by supervisor, using correct spelling, grammar, punctuation, composition, text editing and formatting, and proofreading skills.
Working knowledge of common organization-specific and other computer application programs.
Experience with UCR Financial System (UCRFS) applications (PeopleSoft, iTravel, ePay, web recharge, etc.).
Experience with maintaining both a manual document management system and an automated document imaging and management system.
Working knowledge of University administrative policies and procedures.
