Job Description

The Lawrence Berkeley National Laboratory has an exciting opportunity for a Administrator, who will report to the Lead Administrator in the Environmental Energy Technologies Division (EETD)/Energy Analysis and Environmental Impacts Department (EAEID). The incumbent will provide administrative support for moderate to complex needs to the department and research projects and groups. The incumbent will use professional standards and apply Berkeley Lab policies and procedures to resolve a variety of issues in key operational areas encompassing administration, organizational practices and procedures, and project and budget management. The successful candidate will work with the EAEI Lead Administrator, EAEI Department Head and Deputies to plan, coordinate and deliver comprehensive and high quality administrative support, and may also supervise departmental administrative staff.
As an Administrator, you will: Department related responsibilities:
- Provide administrative support for moderate to complex needs to the Department Head and Deputies, including coordinating and supporting the management of department resources such as space, workforce planning and process improvement initiatives.- Working with the EAEID Lead Administrator, plan, organize and deploy all administrative support services for EAEID - as needed, assign work to administrate staff, train, supervise and evaluate staff to ensure work is thorough, accurate and timely.- Track, monitor and follow up on department compliance with safety and other institutional requirements. - Coordinate execution of meetings and special event arrangements, including: logistics, communications, preparation of written materials, site access, etc.- Working with the EAEID Lead Administrator, provide guidance and standards to EAEID regarding administrative functions, policies, and procedures.- Interact with other EETD and Berkeley Lab departments to secure and coordinate Laboratory support and services for EAEID.- Coordinate, prepare and maintain department-level marketing/communications material, including presentations and website
Research Project/Group Support - Coordinate and support administrative aspects of subcontracts - Develop and maintain administrative contacts with DOE, subcontractors, other National Laboratories, UC, and others to meet administrative needs of scientific staff.- Maintain and update research group websites, including coordination with scientific staff to publish documents and materials online.- Interface with other Berkeley Lab departments to secure and coordinate Laboratory support and services for research group's programs.- Coordinate and support administrative aspects of proposal processes for unsolicited proposals and solicited (RFP) proposals received by research groups. Maintain all data records of proposals, correspondence, reviews, reports, etc.- Coordinate and handle document preparation for technical and scientific reports, presentations, journal articles, and various other media; ensuring documents meet DOE, Berkeley Lab, and other publisher requirements. - Coordinate high-level internal and external visitor logistics for meetings and special events
Qualifications:- BA/BS and minimum of two to four years (or equivalent combination) of directly related experience independently providing support to a large or complex department or division. - Substantial and relevant knowledge and experience coordinating and delivering a broad range of office management support services in a research, academic, or similar environment. - Demonstrated skills in project planning and management; meeting and event coordination; development, organization and preparation of meeting materials and reports; coordination of administrative processes
