School of Engineering, Civil and Environmental Engineering Department

The Civil and Environmental Engineering Departmentin the School of Engineering seeks a Graduate Admissions/Operations Assistant to join its team. This position reports to the department's Student Services Manager (SSM), to the administrative manager of the Blume Center for Earthquake Engineering, and to the Department Manager (DM).

The Civil and Environmental Engineering Department is home to a large and active student body, excellent and dedicated faculty, and highly skilled and experienced administrative staff members who maintain high standards of excellence in a collegial environment. Among the highest-ranked departments nationally, Civil and Environmental Engineering attracts over 800 applicants to its graduate programs annually and manages a highly competitive admissions process. This position provides support for the full admissions cycle, supports other student services-related projects, and assists in the planning and execution of the department's Commencement ceremony and reception. In addition, the position provides operations support to the Center Administrator in the Blume Center for Earthquake Engineering, which is part of CEE.

Core Duties*

Assist SSM with creation, maintenance and tracking of all graduate admissions files.
Initiate and maintain correspondence with applicants with up to date information on application status, missing items, etc.
Coordinate circulation and tracking of applications for admissions committee, programs, and individual faculty.
Assist SSM with tracking application evaluation and scoring data.
Assist SSM with final decision correspondence with applicants, and with other admissions-related tasks as needed.
Coordinate revisions and maintenance of department and program websites related to admissions.
Assist SSM and other administrative staff with planning and execution of departmental Commencement ceremony and reception.
Approximately 25% time supporting the Blume Center with data and file management, general operations support, event support, routine financial transactions, and special projects as directed.

Education & Experience:

High school diploma and three years of administrative experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:

Proficient computer skills and demonstrated experience with office software and email applications.
Demonstrated success in following through and completing routine tasks.
Strong organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize and multi-task.
Familiarity with PeopleSoft or analogous platforms strongly desired.
General familiarity with graduate and admissions process desired.

Physical Requirements*

Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.
