POSITION PURPOSE

Asst Program Coordinator (Non-Exempt):
To assist Tuck Executive Education (program delivery team) by providing administrative, logistical and technical support for the executive programs and by helping to maintain the highest possible level of client satisfaction during program delivery.

Program Coordinator (Non-Exempt):
To plan and implement a designated portfolio of open enrollment, custom, and/or consortium Executive Education programs, ensuring the highest possible level of customer satisfaction during program delivery.

Senior Program Coordinator (Exempt):
Utilizing project management tools and processes; plans, develops, and implements a portfolio of open enrollment, custom, and/or consortium Executive Education programs, ensuring the highest possible level of client service and satisfaction during program delivery.

SKILLS & KNOWLEDGE

Assistant Program Coordinator:

* Ability to work independently, exercise good judgment and maintain confidentiality.

* Good organizational and interpersonal skills.

* Ability to work with others in a team setting; good communication skills and strong client service orientation.

* Working knowledge of Microsoft Office suite, FileMaker Pro helpful.

* Demonstrated ability to work in a fast paced, multi-tasking environment against deadlines. Timely and successful completion of tasks is imperative.

* Position requires working weekends and evenings during program delivery. Flexible schedule a necessity.

Program Coordinator:

* Excellent interpersonal skills and ability to work both independently and as a team member.

MINIMUM EXPERIENCE

Assistant Program Coordinator:

* Two years of relevant experience in a fast-paced environment.

Program Coordinator:

* Three years of relevant experience.

* Event planning, conference management experience helpful.

Senior Program Coordinator:

* Two years of experience in the executive education, hotel or conference industry.

* Client service background.

* Event and/or project planning and conference management experience.

MINIMUM EDUCATION

Assistant Program Coordinator:

* Associate s degree or the equivalent combination of education and experience.

* Bachelor s degree preferred.

Program Coordinator:

* Associate s degree or the equivalent.

* Bachelor s degree preferred.

Senior Program Coordinator:

* Bachelor s degree or the equivalent combination of education and experience.

Assistant Program Coordinator:

Program Support

* Provides staff support to TEE Program Coordinators by performing a variety of tasks/activities that increases coordination efficiency and expedites their work, and ensures smooth delivery of programs.

* Acts as a generalist to support participants beginning at point of application, during program, and after program ends. Assists in responding to participants questions, concerns and needs.

* Assists with on-site program delivery.

* Interacts professionally and respectfully with staff, faculty, clients and other members of the community.

* Processes program applications upon receipt; prepares and sends follow-up correspondence upon approval and distributes advance reading materials and schedules to program participants.

* Maintains public and private web sites for Executive Education Programs.

* Acts as backup support for the PSE, capturing participant/guest travel details and other information ensuring all summary documents are up-to-date and accurate.

* Acts as the runner during program delivery collecting any and all items needed by coordinators and faculty in a quick and timely manner.

* Inputs and updates facility reservations, catering needs, offsite parking, printing and technology/AV requests in specialized software programs.

* Manages scheduling of faculty/participant/client communication post program via Outlook.

* Supports overall goal of providing the highest level of client service to the program participants.

TEE Course

* Serves as point person for TEE course material acquisition, cataloging, and production. Orders cases processes copyright permissions and arranges copying of material for collation and distribution.

* Maintains TEE inventory, ensuring that all programs have needed supplies and giveaways.

* In conjunction with TEE staff and faculty, utilizes standardized templates for program delivery and participant correspondence, assisting with updating of handouts and PowerPoint presentations.

Program Coordinator:

Program Support and Coordination

* Assures world-class client/participant experience for all assigned programs.

* Plans and manages the execution of all logistics for assigned less complex executive programs, including receptions and meals, lodging, scheduling of classrooms and meetings rooms, audio-visual support, and local transportation. Determines suitability of off-site locations.

* Troubleshoots as necessary.

* Acts as primary contact for participants beginning at point of application, during program, and after program ends. Responds to participant s questions, concerns and needs. Serves as on-site program representative, traveling to the specific site as required. * Communicates respectfully to diverse participants.

* Processes program applications upon receipt; prepares and sends follow-up correspondence upon approval.
