JOB DESCRIPTIONAssistant Property Manager to assist the Property Manager with a majority of the responsibilities focusing on the primary goal of providing conscientious, consistent and dedicate property management services through close communication with the Property Manager, the assistant will provide clerical, customer service support for all properties in the Manger?s portfolio. An assistant is a manager in training and as such should be licensed, or have a goal of becoming licenses real estate agent.
Key responsibilities are:
Assisting the property manager, Senior Manager, and the Regional Manager with answering phones, distributing mail, filing coordinating vendor work orders, placing follow up calls to tenants. Must fully understand parameters of Lessee/Lessor responsibilities by project, prepare tenant/owner correspondence, coordination or new tenants, monitoring rent collation and billings, preparation of legal documents, tracking tenant insurance.
Maintain comp reports availability lists and floor plans, run credit reports, prepare draft Leases in AIR, prepare amendments, track expirations and prepare proposals, show available units. Maintain inspection reports, procure bids for vendor services, monitoring vendor performance, schedule walk throughs with vendors, review fire safety program. Prepare monthly reports for Manager comments, collate approved and final reports in Acrobat, send to owners, maintain corporate mater file. Asset manager in preparation of annual budgets, contact vendors for input of expense assumptions, enter all revenues. Update prior CAM reconciliations with new tenants, verify parameters of expense pass thru by tenant. Code payables to match budget, verify invoice totals for Manager?s approval, review current charges for billings, and prepare lease termination forms.
