JOB DESCRIPTION

GENERAL SUMMARY/OVERVIEW STATEMENT:

The BWPO Human Resources Assistant will assist in administrative functions such as New Hire Orientations support, creating New Hire packets, employee file maintenance, scanning, faxing, filing, and verification letters. The BWPO HR Assistant will also have the opportunity to observe new hire orientations and meetings as well as assist with administrative support for monthly Compensation Committee meetings. This is a 36 hours per week position.



PRINCIPAL DUTIES AND RESPONSIBILITIES:

New hire Orientation Support Attends and Assists with BWPO and BWH Professional Staff, BWH Fellow and PHS Residents new hire Orientations. This includes scheduling Orientations, ordering food, creating and organizing new hire binders, per diem packets, and BWH monthly and PHS Resident benefit packets.

Assists with completion of I-9s, sending Orientation reminder emails, and helping answer benefit questions.

Ordering supplies, including benefits materials

Reviewing information in PeopleSoft, opening benefit enrollment, sending email reminders, and confirming benefits have been elected

Scanning all paperwork this includes, new hire paperwork, LTD/FMLA paperwork, retirement paperwork

Emailing/Faxing new hire paperwork to payroll and benefits office

Pulling all terminated personnel files and I9s

Assisting with I9 Audits

Assisting with events, such as 111 Cypress BBQ

Creating employment verification letters and answering employment verification requests

Creating 457b deferred compensation letters and tracking status

Assisting with updating employee name and address changes

Entering reimbursements in PeopleSoft expense system

Responsible for preparing Compensation Committee meeting materials on a monthly basis and update Compensation database

Ensures that all Compensation Committee (CC) meeting materials are filed and organized by meeting date and that all related paperwork has the required signatures

Maintains RMS database (electronic database) of all compensation exception requests and approvals

Responsible for writing Compensation Committee meeting minutes and update CCM minutes database

Assisting in misc department projects

All other duties as assigned

QUALIFICATIONS:



High School Diploma Required



SKILLS/ABILITIES/COMPETENCIES REQUIRED:

Ability to handle sensitive and confidential information

Possesses excellent interpersonal skills in order to assist both internal and external customers

Ability to work well independently or with others

Exposure to Microsoft Office such as Word and Excel
