JOB DESCRIPTIONGENERAL SUMMARY/OVERVIEW STATEMENT:
Under the general direction of the Administrative Manager of the Department of Psychiatry and the Practice Administrator, the incumbent is responsible for managing a wide variety of administrative tasks related to clinical, research and educational initiatives as well as cross-cutting projects and operations for the Department of Psychiatry. This position requires a detail-oriented candidate with superior follow through and organizational skills. Requires maintaining solid working relationships with a variety of staff, fellows, faculty and students throughout the department.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1.Support the administrative functions for the Department of Psychiatry Clinical Faculty and the TMS program
2.Provides clinical and operational project support and research project support
3.Assist with the scheduling of appointments and gaining prior authorizations for the TMS program
4.Assists with interview schedules and travel arrangements for potential faculty candidates
5.Provides administrative support for various department meetings and committees
6.Manages department CME events
7.Maintains Healthstream database for all department faculty and staff and ensure compliance
8.Process improvement projects such as Press Ganey Reporting (will analyze data, determine relevant themes and make recommendations for improvements. Work with Center for Clinical Excellence to determine how to make improvements.
9.Point person with PROMS (Patient Outcome Reporting System)
10.Assistance with BPS (Brigham Psychiatric Specialties) clinical virtual visits
11.Other tasks, projects and duties as assigned by Department Leadership
1.5 years of relevant administrative experience required, experience in a healthcare setting preferred.
2.Experience with research and grants administration preferred
3.Experience working in an academic healthcare center preferred.
4.Experience with Power Point, Excel and Access required
5.Experience with academic appointments and compliance
6.Experience with database management and set up required
1.Superior organizational skills dealing with many institutions and departments with competing needs.
2.Excellent communication, presentation and interpersonal skills, independent decision making, and problem solving skills.
3.Ability to handle multiple tasks simultaneously, work well under pressure, keep track of details, and following through to completion within specific time limits.
4.Excellent time management skills
5.Requires excellent judgment, tact, sensitivity and the ability to function independently in a stressful environment.
6.The ability to maintain confidentiality and HIPAA requirements regarding department-specific information
7.Ability to lead others and persuade, influence and enlist others support in accomplishing objectives.
8.Excellent analytical skills
9.Thorough knowledge of computer systems and software including, MS Office applications and database systems.
