Job Description

Job Title: BANQUETS MANAGER

MAJOR FOCUS:

Responsible for executing four-diamond customer service for all banquet events and activities with major emphasis on service training. Responsible for coordinating efforts with the Catering Convention Services Sales team to ensure delivery of exceptional, efficient, seamless service.

ESSENTIAL FUNCTIONS:

- Execute banquet events according to Banquet Event Order specifications by overseeing banquet staff preparation; confirming that all banquet staff are in proper uniform, presenting a clean and professional image; creating duty assignments and communicating floor plans; ensuring room preparation (setup of tables, chairs, linens, table settings, glassware, etc.) including clean and stocked bathrooms throughout the event; communicating with kitchen staff regarding catering contract information, menus and food preparation

- Responsible for recruiting and selecting only the very best candidates who can deliver four-diamond customer service.

- Responsible for orienting, training, assigning, scheduling, evaluating, supervising performance and carrying out corrective counseling as needed for all banquet staff and banquet captains.

- Employ a creative approach to banquet layout and design to deliver a fresh and inviting appearance for all functions.

- Control costs by assisting management in purchasing of food, beverage, supplies and equipment as needed for catered events; maintaining effective profit and loss controls; utilizing labor scheduling tool to adjust salary and hourly schedules following demand patterns, budget and labor laws.

- Ensure schedules are covered in accordance with our service standards:

Buffet functions - 1 server per 40 guests

A la carte functions - 1 server per 20 guests

VIP functions - 1 server per 10 guests

Captains - 1 captain per 60 guests for all functions

- Ensure successful operation of special events, banquets and room rentals through regular communication, including but not limited to weekly BEO meetings with the Food and Beverage management team; maintain a high level of communication with the sales department regarding room layout and design as well as the clients special needs and requests.

- Ensure satisfaction by communicating with the host throughout the event regarding any changes, substitutions or special requests; assisting banquet staff throughout the event as needed (refilling drinks, delivering food, bussing tables, etc.); and following up with host at the conclusion of event.

- Manage revenue by tracking any additional charges incurred at the event, collecting balances due and a signed copy of the final bill; ensure all functions are properly documented in the POS system on the same day as the function without exception.

- Meet administrative requirements by ensuring that a completed a banquet function report is submitted at the conclusion of every event; generating inquiry sheets and other materials as instructed.

- Protect the organization, guests and staff by adhering to sanitation, safety, and alcohol beverage control policies and regulations, including confirming legal drinking age and discontinuing service to intoxicated guests.

- Maintain smooth operation of banquet facility by ensuring that all work areas kept clean and safe

- Advise maintenance of repairs needed and follow-up to ensure satisfactory completion.

- Advise as appropriate of cleaning needs including deep cleaning, rug shampooing, etc. and follow-up to ensure satisfactory completion.

- Coach and counsel subordinate employees as needed.

- Oversee and ensure the timely completion of employee evaluations

- Conduct training with subordinates, both formally and informally

- Issue discipline and terminate employees as appropriate

- Reward and recognize superior performers

- Oversee and ensure that employees work safely and follow all safety rules
