CSR/Shipping-Receiving Clerk carries out all customer service activities such as responding to inquiries, processing orders, and handling complaints, in a prompt, courteous, and effective manner. The handling of customer orders in the manner, which adheres to company procedures, is an important responsibility. Other responsibilities include phone duties, greeting visitors, scheduling, and other clerical duties as directed by the Transportation Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assure proper invoicing of accounts by verifying pick-list and creating Bill of Lading. Maintain pickup record for all shipments both LTL and Truckload. Ensure correct carrier is picking up loads. Notify carriers of all loads ready for pickup to ensure on time delivery.
Maintain a good working relationship with customers by responding to all inquires and complaints concerning invoicing, shipments, and availability of all loads. Help in the resolution of customer complaints, or concerns. Act as a liaison between the warehouse and the customer in administration of accounts and between the office and customer regarding order status.
Greet and assist truckers with the timely and efficient pick up of all outbound loads. Confirm the identification of all drivers and ensure all documents are completed accurately in the pickup of all trailers.
Ensure the accuracy of all shipping documents. Gather and maintain all data and records relative to shipping activities. Assure that packing lists match picking documents. Assist in resolving any discrepancies. Notify Transportation Manager if customer procedures are requested.
Operate the computer terminal in a proficient manner. Enter and verify data regarding customer orders, shipments, receipts, physical inventories, adjustments, etc., in an accurate and timely fashion.
Oversee all paperwork associated with orders and maintain the corresponding files. Answer phone calls and operates various types of office machines and computers necessary to perform duties. Greet customers and visitors to the office. Effectively correspond with customers as required.
Assist Transportation Manager in gathering and preparing of all necessary reports. Assist with the updating of the local trailer pool. Contact carriers of any shortages or damage of equipment. Communicate with carriers when changes occur with the schedule loading or sequencing of equipment
Answer incoming telephone calls in a cheerful, courteous, and timely manner. Promptly route each call to the proper party, taking messages when necessary. Assist callers with general information and inquires. Direct visitors to appropriate department.
Other duties or responsibilities as requested by Management.
MINIMUM REQUIRED QUALIFICATIONS
Education and/or Experience
High School diploma or GED
General office experience
SKILLS, KNOWLEDGE AND ABILITIES
General office experience, including telephone techniques and computer skills, in a customer service environment is required. Effective communication skills and proficiency in operating office machines are necessary. Microsoft Office and computer experience a must.
Microsoft Office, GEODE preferred
Certificates, Licenses, Registrations or Professional Designations
Work experience in a logistics/distribution or relevant environment a plus
1-2 years experience preferred
While performing the duties of this job, the employee uses his/her hands to manipulate objects and keyboard; reach with hands and arms; sit, stand, stoop, walk, talk or hear. The employee uses computer and telephone equipment. The employee also regularly lifts and/or moves objects up to 10 pounds. Specific vision requirements of this job include close vision and distance vision.
While performing the duties of this job, the employee rarely is exposed to fumes or airborne particles, toxic or caustic chemicals. The noise level in the work environment is usually low to moderate.
The duties of this job are performed in a working distribution center that is not temperature controlled.
