Job Description
SUMMARY
Responsible for coordinating reprographic print job requests utilizing third party print shop providers. Other job tasks include receiving and sorting incoming mail and/or packages to distribute to other departments or individuals, label/sign making and office supply support functions.

ESSENTIAL FUNCTIONS
MAIL ORGANIZATION

* Sort and collate mail

* Dispose of junk mail

* Collect outgoing mail during daily mail run and apply correct postage

* Weigh mail to determine correct postage

* Stamp mail with postage meters

* Deliver all outgoing mail collected during mail run to designated location for USPS pickup

* Maintain/update Mail Zone Log


MAIL DISTRIBUTION

* Place mail in proper buckets for distribution (outer plant and main building)

* Process incoming express mail (FedEx, UPS, DHL, and intercompany deliveries), log, and email recipients notifying of express mail arrival


REPROGRAPHICS PRINT JOB COORDINATION

* Coordinate all incoming jobs from customer

* Coordinate, organize, track and follow-up print jobs with third party vendor

* Prepare completed print jobs for delivery or arrange for customer pick up once print jobs are at the site


LABEL | SIGN MAKING

* Print labels and signs for customers as needed.


OFFICE SUPPLY SUPPORT

* Keep supply cabinet stocked

* Order inventory 1 to 2 times per month within pre-determined budget.

* Monitor/log and fill incoming standard office supply requests.

* Assist other departments that do not have support in ordering supplies


EDUCATION AND EXPERIENCE

* Candidate must have a high school diploma or GED equivalent

* Experience in reprographics and mail services

* Some college courses related to job tasks

* 1-2 years of previous mailroom & reprographics experience


KNOWLEDGE, SKILLS, AND ABILITIES

* Excellent communication skills in English, both written and oral

* Excellent computer skills, specifically word processing and database entry and knowledge of fax and scanning machines

* Ability to learn quickly

* Ability to sort the mail in a way to help ease and speed of delivery

* Complete understanding of reprographic job tasks

* Excellent customer service skills

* Ability to make labels and signs


PHYSICAL WORK REQUIREMENTS / CONDITIONS

* Must be able to lift a minimum of 50 lbs.

* Ability to spend much of the day on his/her feet

* Must be able to work quickly with hands and have good hand/eye coordination

* Occasional overtime and weekend work may be required
