Doubletree by Hilton Ocean Point Resort & Spa is currently seeking dynamic, experienced and motivated individual for the position of Condo Owner Relations Manager/Accountant The position requires a high level of professionalism, excellent organization, communication skills, strong leadership capabilities and detail orientation. To be successful you must possess excellent customer service, organizational and time management skills. The Hotel is an upscale Beachfront Resort with all ocean view studios and suites. All suites have spacious balconies and fully equipped kitchens. The resort features a state of the art Fitness center, European spa, Beauty salon, zero entry Swimming pool, Whirlpool with a 25-foot waterfall, full service Restaurant, Lobby bar, Pool bar, and gourmet Market place. This resort is conveniently located between two major International Airports Miami and Ft. Lauderdale (20 min). Great shopping - Bal Harbor, Aventura Mall Fine Dining, close to Attractions The responsibilities of the Condo Owner Relations Manager/Accountant include, but are not limited to: Keep updated owners list with addresses, contact information, Federal ID numbers, Social Security numbers. Etc. Prepare and mail budget meeting notices, annual meeting notices with ballots, etc., and other notices as required. Assist in preparing meeting notices, agendas minutes, and general correspondence. Sort all owner mail. Maintain files as required by law and furnish for inspection and /or copying upon request by directors and owners. Handle owners questions and requests. Contract services (ie. Landscaping, pool & fountain, pest control, etc.) Communicate with hotel staff (Front desk, housekeeping, and/or engineering) to assure that services are properly being rendered. Bidding process for new contracts and/or renewals and forward contracts for the review and approval of the Board of Directors. Assist brokers and/or closing agents with condo questionnaires, and notice right of first refusal & boards action thereon. Track owner and/ or their guest usage. Keep updated records of closings and re-sale transactions Maintain a clean balance sheet with back up for both Condo and Maintenance associations. Perform month end and year end as scheduled and on timely basis. Maintain an organized and confidential filling system. Review the Profit and Loss statement with Controller and GM at the end of each month. Produce a cash flow summary for both units and copy Controller and GM. Prepare the quarterly distribution to owners. Complete 1099 on time. Responsible for the identification and correction of problems that exist in the accounting areas. Assist the controllers in other special projects as instructed Assist in the implementation of new procedure and monitoring of existing policies and procedures (Deviations of hotel policies and procedures which come to the attention are reported to the Controller.) Participate in Weekly and Monthly meetings. Assist the Controller with both units budget. Maintain a daily, weekly and monthly check list and adhere to. Maintain a detailed revenue tracking. Complete any projects, assignments or tasks as instructed by the controller. Enforcing of all legal aspects that affect the managing of a condominium as "Building Manager". The law requires having CAM (Community Association Management) license updated yearly for condominiums over 50 units or yearly budgets of over $ 100,000 Follow up with Condo and Maintenance Associations Rules and Regulations compliance, including federal, state, county and city statutes - mainly 718, which applies to condominiums regulated and enforced by the D.B.P.R. (Department of Business and Professional Regulations) of the State of Florida. i.e. Posting of notices, Board of Directors Procedures, Elections, Meetings, Unit Owner Complaints, Etc. Keep all owner's files updated, taking into consideration: live in owners, owners not in Rental Agreement and owners participating in the Rental Agreement Assist in collecting Condo and Maintenance Association quarterly assessments from all owners Participate with the Condo Accounting personnel in the forecasting and preparation of yearly budgets meeting statutory and Condo Documents Regulations for both Associations. To be later approved by the Board of Directors Sell Rental Agreements to unit owners Review all Quarterly Income Distribution to owners participating in Rental Agreement - answer all questions and settle disputes Direct involvement in selling Furniture Packages to owners whether through cash purchases, promissory notes or leasing through a finance company Daily interaction with hotel General Manager and supervisory personnel on issues and matters which have an effect in hotel, Condo Associations and /or unit owners.
