Job Summary Statement:
The Office of Contract and Grant Administration (OCGA) is a part of the Office of Research Administration (ORA) which supports the UCLA research program by providing leadership, professional guidance and administrative services to faculty, department administrators, and students. The Contract & Grant Specialist is a member of a Contract & Grant Team handling various administrative and analytical tasks related to contracts and grants for research, public service and training projects supported by government (federal, state, county and municipal) and non-profit entities (foundations, educational institutions, research organizations).
Duties include addressing questions and concerns regarding existing contracts and grants; responding to requests for information from Principal Investigators, departmental staff, and agency personnel; the initial review and analysis of proposals ready for submission and incoming awards; the initiation of award set-up; the analysis of information to support the financial requirements, proposal requirements and business processes of Office of Contracts & Grants Administration (OCGA) as well as the University; and the coordination of submissions. Carry out research and special projects; communicate with staff and others throughout the University to define issues and expedite resolution; communicate with funding agencies on behalf of UCLA; and handle sensitive information, such as the coordination of conflict of interest disclosure forms.

QUALIFICATIONS FOR POSITION
One to two years experience with contract and grant related policies and procedures.
Knowledge of regulations regarding contract and grant administration and/or working knowledge of federal, state, local and private agency guidelines.
Strong interpersonal skills to work effectively with faculty, administrators and funding agency personnel.
Demonstrated skill in the use of computers using Windows-based software, general working knowledge of spreadsheet software and database entry, and working knowledge of the internet.
Demonstrated ability to interpret financial administrative concepts as presented in contract and grant documents.
Skill in preparing routine correspondence using proper grammar, spelling and punctuation.
A strong attention to detail with the ability to identify inconsistencies.
Quantitative skills sufficient to review proposal and award budgets for accuracy.
Ability to develop and maintain an awareness of external regulations and laws, university policies and funding agency policies that apply to grant and contract preparation, submission and award processing.
Strong problem solving skills.
Ability to work independently as well as work effectively in a group.
Ability to gather information necessary for resolving questions and solving problems.
Ability to maintain composure and productivity despite multiple deadlines, frequent interruptions, and distractions and competing priorities.
Strong oral and written communication skills.
Strong organizational skills.
