JOB PURPOSE:

Work under general direction to support the procurement services central office activities by contracting for a variety of goods and services in a timely, cost-effective manner, for a diverse clientele. Maintain productive client relationships, and provide excellent customer service to client groups.

CORE DUTIES*:

The primary role of the Contract Advisor I (CA I) is supporting the Procurement Services central office contract activities by preparing contracts for a variety of services and monitoring workload to ensure timely completion. The CA I will collaborate with a central office team in advising multiple client groups on a variety of contract and procurement issues.

The CA I reports to the Contracts Manager and is expected to work effectively with the entire contracts team, communicate tactfully with the entire University community, manage multiple priorities in a dynamic, fast-paced team environment, and successfully generate required documents within the necessary timeframe while maintaining critical attention to details and effectively communicating status updates to involved parties.

The CA I will process transactions in relation to Client needs, support procurement Strategic Sourcing initiatives and Source-to-Pay Buyer e-procurement platform, strive to achieve continuous improvement in Stanford's procurement process, support compliance initiatives, perform specifically assigned testing responsibilities for Internal Controls, and participate in system enhancement and upgrade testing/scripting.

Additional Responsibilities:

Manage client expectations regarding procurement transactions.
Support sourcing for non-contract and non-standard items.
Resolve issues that hinder complete procure to pay process between suppliers and clients.
Facilitate communications with the client, suppliers and other University departments to gain alignment between sourcing and internal business partners on requirements, demand management approach, and best practice sourcing strategies.
Document, analyze and suggest ideas for continuous improvement;
Participate in the training and development of other Contracts team members;
Other tasks as assigned by Contracts Manager.

MINIMUM REQUIREMENTS:
Education & Experience:

Bachelor's degree and three years of relevant experience, or a combination of education and relevant experience including the preparation of contracts for various types of services.

Knowledge, Skills and Abilities:

Experience in a University procurement environment highly desired.
Demonstrated ability to steward a culture of support for individual, team, department and university growth and excellence.
Highly developed oral, written and interpersonal skills.
Strong analytical, organizational and negotiation skills.
A working knowledge of contract law
Proficiency in Oracle
Proficiency in Microsoft Office

PHYSICAL REQUIREMENTS*:

Frequently perform desk based computer tasks, use a telephone, sit and use light/fine grasping.
Occasionally stand, walk and write by hand, lift, carry, push, and pull objects weighing 10 pounds or less.
Rarely kneel, crawl, climb, twist, bend, stoop, squat, reach or work above shoulders, grasp forcefully and sort, file paperwork or parts.
Ability to obtain and maintain a valid California non-commercial class license.

WORKING CONDITIONS:

May require extended working hours during peak cycles; travel to school/unit sites across university and off campus.
May be exposed to allergens, biohazards, chemicals, noise 80dB TWA, radiation, electromagnetic fields, high voltage electricity and temperature extremes at school/unit or off campus sites.
