Description:


The University of California, Merced is the newest and tenth campus of the University of California system and the first American research university built in the 21st century. The Administrative Assistant will provide direct administrative and clerical support to the Dean of the School of Natural Sciences. The Administrative Assistant will be responsible for serving as the primary point of contact for the Dean, responsible for coordinating and scheduling meetings, and coordinating and preparing all matters related to the Dean s travel.

The chosen candidate will work effectively as a member of a team as well as lead some projects and must have excellent writing and editing skills. The incumbent must have advanced knowledge of the Microsoft package and the ability to write, edit and proofread correspondence, grants and reports.

The Dean's Assistant will Independently create professional quality presentations, correspondence, reports, and communication for the Dean. The incumbent will also prepare materials for projects, meetings, speeches, reports and will produce ad hoc reports as requested.

The incumbent will be responsible for assisting the Dean in all clerical and administrative related tasks. The chosen candidate will communicate the Dean's requests for information and briefing material to the appropriate staff and follow up accordingly as well as oversee advisory board meeting arrangements, prepare meeting agenda, and take minutes.

The individual will prepare meeting agendas and ensure that meeting materials are provided to the Dean prior to the appointment/meeting.

Review of documents that require the Dean s signature will be required. The successful candidate will collect and organize material from meetings, note action items and place in the Dean's queue or delegate to appropriate staff and ensure action items are completed before the next meeting.

Maintaining the files and records of the Dean to ensure confidentiality will also be required.



Qualifications:

Bachelor s degree and/or equivalent experience in a related field required.

Communication skills to convey information accurately, clearly and concisely.

Ability to communicate effectively and diplomatically with people from a wide variety of ethnic, social and educational backgrounds.

Skill in writing logical, concise and grammatically correct documents and procedures and instructions.

Ability to work independently and with a high degree of accuracy.

Ability to maintain clear and complete records.

Ability to organize and maintain a clean, shared laboratory preparation area.

Demonstrated skill in setting priorities under conflicting demands of time to reflect organizational goals; ability to work with frequent interruptions and deadlines.

Demonstrated ability to operate PC with software for Microsoft Word, Excel, and other programs as needed.
