The Design Specialist is a vital role within the Hilton Global Design Services team and is responsible for ensuring the quality of hotel design for renovations and new build properties for the Hilton full service brand in the USA and Canada.The position reports to the Senior Director of Design who oversees the full service brands of Curio Brand, Hilton Hotels & Resorts Brand and DoubleTree by Hilton brand. The Design specialist will collaboratively support the Sr Director and Design Managers with the design submittal process, reviews and approvals, and the creation of and refinement to Global Design Services (GDS) Initiatives, Brand Narratives, and Design & Construction Standards in collaboration with both the Full-Service Brand and Technical Services Teams. What will I be doing? The Design Specialist will combine technical and administrative skills in organization of vendor resources and will act as a liaison to outside vendors and consultants. The Team Member will work collaboratively with both internal and third party business partners (owners, developers, design consultants) to promote our value added approach relative to planning and operational efficiencies. These objectives should be seen as part of on-going training for continued professional development. Other key priorities are listed below: * Assist the Senior Design Director with providing guidance to the consultants of Managed and Franchised hotel owners and hotel General Managers through the process of online project registration, design submittals (both electronic and physical), issuance of design review documents, and eventual issuance of the formal design approval letter from the Senior Design Director * Receive electronic and physical design submittals for architecture, interior architecture and FF&E * Maintain accurate submittal and design review logs * Manage the process of submittal filing, returning submittals to sender, preparing submittals for long-term storage by Hilton or disposing of submittals as directed by the Senior Design Director * Assist the Senior Design Director in the review of Conceptual Design, Schematic Design and Design Development for the quality of design that is consistent and appropriate for the brand including operational functionality and guest experience * Assist with follow-up to the various Designers, Architects, property management groups, the Hilton franchise team and Hilton brand teams for on-going design issues * Assist the Senior Design Director in the review of construction documents including architectural drawings, architectural specifications and FF&E specifications for consistency with the approved Design Development submittal and compliance with the Design and Construction Standards * Draft design review letters and design approval letters for the Senior Design Director * Meet regularly with the Senior Design Director to collaboratively review the submittal log, project status, prioritize reviews, evaluate designs and concur on design direction, as well as finalize the design review letters and issue communications * At the direction and discretion of the Senior Director, take greater responsibility for smaller and less complex projects, while keeping the Senior Design Director updated on the project status * Assist with maintaining the design website in coordination with the external webhost company, including the evaluation of functionality, effectiveness and user-friendly interface * Help develop content materials and tools for ongoing site enhancement * Assist the Design Director in organizing design submittals, preparing presentations to Senior Hilton Management, and communicating with outside interior designers and other miscellaneous consultants * Monitor progress on various design projects, this will include certain administrative functions such as copying, filing, scheduling conference calls, preparing meeting minutes, preparing design review responses, and scheduling design meetings * Create and update source files and act as a liaison between outside vendors and consultants and the corporate Interior Design group * Assist in the communications and follow-up with Brand Management teams to resolve outstanding issues * Create and update various digital Design Standards Review forms and checklists for full service hotels * Repair, revise and assist in the creation of design boards for design reviews and presentations * Assist in the preparation of special presentation materials as required * Organize and maintain the materials resource library and other resource files * Create and maintain a suppliers and designers contact database * Must have a self-motivated work ethic with strong desire for collaborative team culture to thrive within * Effective communication skills, with the ability to clearly and concisely express ideas both verbally, in writing and graphically * Excellent interpersonal skills that build trust and instill confidence in order to motivate and influence others * Absolute discretion and confidentiality regarding sensitive information * Ability to take initiative to identify, prioritize and implement all elements required for team to fulfill responsibilities in accordance with core strategic goals * Strong problem solving skills, including ability to effectively address any issue in collaboration with others as appropriate * Ability to collaborate with others and act in an objective manner in order to effectively solve problems and stay on track towards accomplishing organizational goals * Ability to work well under pressure and effectively handle multiple, concurrent demands and appropriately prioritize responsibilities Hilton World Wide Inc. is acting as an Employment Agency in relation to this vacancy.
