Our client, a luxury high end hotel is looking for a front line polished Executive Assistant for their Events Dept. This position reports to the Director of Events. Candidate must be able to out their job search on hold and commit to March 1, 2017. Responsibilities: Provides the Director of Event Services and Event Services Managers with administrative support Including, typing, filing, answering telephones, and taking messages, maintaining appointment, calendar and other general office duties. Opens incoming mail, distributes inter-office mail accordingly. Sends outgoing mail, both inter-office and outside of the hotel. Routes mail, faxes and other printed matter. Compiles and updates BEO sheets in preparation for daily meetings Prepares and types correspondence and fairly complex numerical/payroll/financial reports as directed. Prepares correspondence on behalf of management. Duplicates, copies, mails and distributes materials for the department/office. Orders and maintains office supplies and equipment. Maintains files and equipment in an orderly and professional manner. Uses the propertys email system and maintains their email box, as is policy. Additionally, this position may or may not have access and/or control over the email box of supervisors. Appropriate business use of telephone and voice mail system. Greets internal and external customers in a friendly and professional manner. Announces visitors and/or handles requests, as appropriate. Maintains a professional and friendly relationship with other departments, team members and guests Preparation of special reports or projects, as requested
