Nuance is seeking an Executive Assistant to support the Vice President of Global Human Resources, the Chief Human Resources Officer and the Human Resources Leadership team. This candidate should have top-notch complex scheduling skills, exceptional MS Office skills, global travel management experience, and strong creative problem solving experience. The successful candidate will be flexible, thoughtful, energetic, self-motivated, quick-thinking, and able to juggle multiple and diverse responsibilities with a strong emphasis on organization. This person should be enthusiastic, confident in nature, and comfortable dealing with a wide variety of professionals.
Principal Duties and Responsibilities
Professional company representative to both internal and external constituencies.
Overall calendar management for CHRO and HR Leadership Team. Involves managing multiple competing requests for face to face as well as teleconference meetings.
Use judgment and experience to schedule, confirm and redirect meeting requests. Calendar requests include routine/periodic meetings (weekly, monthly), Board of Directors/Committee meetings, ad hoc company meetings and urgent meetings.
Logistic coordination for meetings including preparing and distributing agendas, reserving and preparing facilities, and setting up technology for video conferences.
Must ensure all parties are informed of and kept abreast of schedule, location, changes and other logistic (dial in # s, materials and handouts).
Answers, screens, and responds to incoming calls in a professional and timely manner.
Coordinates travel arrangements, sometimes complex international travel with strong detail orientation, anticipating transportation, lodging, meeting and communication needs while traveling.
Schedules on and offsite meeting facilities to meet the objective of the event in a cost effective manner.
Composes, and distributes professional correspondence and memoranda, and email, using individual initiative and as assigned.
Conducts research; compiles summary reports.
Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
Completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
Supports other ad-hoc projects for the broader HR organization, including quarterly metric reporting, space planning, and global team meeting coordination.
Knowledge, Skills and Qualifications
Role & Education Requirements
5+ years of experience as an Executive Assistant
Ability to work independently, possess excellent communication skills, and exhibit a professional demeanor
Experience exercising judgment and discretion with sensitive/confidential and proprietary information.
Outstanding organizational, prioritization and time management skills.
Strong attention to detail and ability to follow through with a high-level of accuracy.
Flexible, results/action-oriented, ability to adapt to changing priorities in a fast paced, dynamic organization.
Key to success in this job is good common sense, interpersonal skills, accuracy, and initiative.
Bachelor s Degree preferred
