The Executive Assistant will oversee the day-to-day functions of the executive and members of the department s senior leadership team. The Executive Assistant will handle all administrative and executive support related tasks under minimal supervision, interface with internal and external customers, and utilize comprehensive experience, skills and knowledge to manage and successfully execute diversified projects. The Executive Assistant will also work under the supervision of the Administrative Manager and partner with other executive assistants within the organization on special projects and to achieve common goals.


* Screen visitors and calls

* Manage complex calendars and optimize daily workflow to maximize the executive s time

* Plan, coordinate, and set up virtual and in-person meetings, including confirming attendees, capturing meeting minutes, and following up on action items

* Develop, edit, and proofread ad hoc and/or on-going presentations, reports, surveys, meeting materials, and business correspondence

* Prepare accurate and timely expense reports

* Properly code and facilitate approvals of check requests, purchase orders, invoices and purchase card transactions

* Coordinate conference, continuing education, and other business event registrations

* Frequently prepare and facilitate the timely submission of board of directors meeting materials

* Arrange travel, including preparing itinerary and pertinent trip files

* Maintain and update electronic file repositories and department intranet sites

* Handle confidential and sensitive matters with high level of discretion

* Effectively handle information flow; assist with disseminating updates and announcements to various audiences

* Act as liaison between the executive and all levels the organization and all external customers

* Proactively prioritize and track commitments and tasks to completion

* Coordinate and oversee on and off site events

* Anticipates needs of executive

* Assist in keeping executive up-to-date on department and company initiatives and issues

* Use initiative and good judgment to resolve inquiries, requests and issues in a timely manner

* Work closely and effectively with executive assistants to promote a culture of collaboration and trust

* Partner with administrative support team members to organize Quick Connections sessions

* Contribute to special projects in support of executive assistant team and company-wide goals

* Serve as peer advisor and resource to new Senior Administrative Assistants

* Provide coverage for other executive assistants as needed

* Maintain and update Executive Assistant Manual

* Perform miscellaneous duties as required

* Act with integrity, maturity, professionalism at all times
