We are looking for an experienced executive assistant to support the Talent & Organizational Development global team. S/he will work closely with a dedicated and diverse group of internal and external customer-focused professionals. Special support will be focused on administrative duties for the VP of Talent & Organizational Development. Lexington or Cambridge MA location preferred.
The ideal candidate will be highly motivated and comfortable working on multiple priorities, be comfortable working in a fast-paced environment and enjoy the variety of responsibilities including:
Administrative and secretarial support to the VP of Talent & Organizational Development, including meeting management, calendar management, travel, administrative and operational support.
Additional administrative support to the six members of the leadership team, especially coordinating their travel and travel expenses.
Internal and external interface with executives. Must maintain high level of confidentiality to sensitive information.
Manage calendar, which involves coordination across multiple time zones.
Coordinate domestic and international travel including organizing logistics, agenda, meetings etc.
Prepare reconcile expense reports in a timely manner.
Create and prepare executive level presentations.
Input and track monthly department budget and prepare expense reports following internal policies.
May manage staffing activities to include interviewing, onboarding and transfers.
Processing of purchase orders and invoices for manager.
Involved in event and meeting coordination.
Flexibility to assist with special projects as needed, especially as they relate to training program support (e.g, reserving food, classrooms, printing out materials).
Coordination with other executive assistants supporting the team.
Maintain positive professional relationships at all levels of the organization.
EDUCATION & EXPERIENCE REQUIREMENTS
Customer-focused, solutions-driven individual with significant executive presence
Minimum of 5-7 years administrative experience supporting senior leaders/executives
BA/BS degree preferred but not required
Strong problem-solving skills, both proactive and reactive to unexpected situations
Enjoys working with minimal daily oversight to deliver solutions and results
Exceptional attention to detail
Excellent time management, organizational, multi-tasking, and follow-up skills
Excellent oral and written communication skills in order to interact with internal and external high-level executives
Systems expertise with Microsoft PowerPoint, Excel, Word, and Outlook
Experience with Concur Expense System beneficial
Global exposure in dealing with various cultures/personal styles a plus
