Job Description

Serves to facilitate the activities of the organization through the administration, communication and the efficient management of the executive's efforts. Must possess a mastery of office skills and demonstrate the ability to exercise independent judgment. Involved in the daily management and communication of operation functions.

Essential Functions:

-Serves as administrator of the executive's schedule. Coordinating with the Assistant to the President/CEO, schedules appointments and maintains calendar for executive. Makes arrangements for and coordinates meetings for executives.

-Develops and disseminates communications from the executive's office and relieves executive of various administrative details. Coordinates and maintains effective office procedures and efficient work flow. Establishes and maintains harmonious working relationship with superiors, co-workers and external contacts.

-Generates reports to support executive's efforts. Extract and manipulate data through various software applications for statistical analysis. Prepare/abstract information and supporting data in preparation for meetings, work projects and reports. Correlates material submitted by others to Executives. Organizes materials, which may be presented in draft format.

-Arranges business travel, prepares itinerary and coordinates travel requirements for executives. Also, prepares appropriate expense accountability for such trips.

-Composes correspondence for self and others signature as required. Prepares communication outlined in oral and written directions. Assists in the preparation of materials to include business plans, strategic plans, budgets, etc.

-Prepares all invoices for payment and tracks expenditures and monitors the budget of the executive's office.

Education and Experience:

-Education - High School diploma or equivalent required. Bachelor's degree preferred.

-Experience - Minimum of five years of related work experience at the corporate level. A detailed understanding of both non-profit and for profit businesses and prior demonstrated ability to exercise independent judgment. Experience in Human Service programs is preferred.

-Skills - Computer Literate with advanced skills in word processing, spreadsheet and presentation software. Demonstrated ability to compose correspondence, reports, press releases, speeches, and text for strategic planning. Ability to assume responsibility without direct supervision. Ability to exercise initiative, judgment and flexibility and prioritize workload. Should possess a high energy level, and ability to exercise confidentiality in all areas.
