JOB DESCRIPTIONAPPLY Reporting directly to the Associate Director of Finance for the Cancer Center Protocol Office (CCPO), the Financial Coordinator provides administrative assistance to the Associate Director, Financial Managers and the Budget Analysts in all aspects of research protocol budget development, compliance and reconciliation.
Working with Partners Research Management to keep them up to date in terms of when trial funds need to be extended or closed.
Work with the departments IS group when protocols require their services.
Submit invoices for the IS services and track payments for same.
Performs detailed analysis of clinical trial accounts by ensuring that all charges are study related and billable to either the insurance or the clinical trial study fund
Interact with the research study team, Clinical Trial Financial Analyst and Principal Investigators as necessary
Review of charge session in EPIC
Completes tasks in assigned EPIC work queues
Review, communicate and correct charge related errors
Provide feedback on processes and workflows to help improve accurate and timely billing
Invoicing sponsors for all non-covered services relating to protocols
Working with the Clinical Research Coordinators to create and submit milestone billing grids to sponsors when appropriate or mandated by agreement
Track outstanding accounts receivable for all outstanding invoices Reconcile research billing to assure Medicare and third-party payer compliance
Insure that any amendments to protocols have been communicated to all CCPO personnel working on the study
Working with Partners Accounts Payable, set up POs for trials when appropriate and track PO expenses to the related funds Provide back-up to the departments administrative assistant by submitting the requisite forms and appropriate signatures for new fund set ups to Partners Research Management
Track when new funds are established, set up the file and enter this the required data points into the CCPO database
High School diploma required, Bachelor's Degree preferred. Previous administrative assistant experience and/or clinical research experience. Ability to provide support in a high volume, fast-paced environment. Ability to multi-task is essential. Ability to apply billing requirements/regulations to the clinical research charge review workflow. Strong organizational and communication (oral and written) skills are essential. Detailed orientation is essential. Must be adaptable and able to prioritize work is critical. Knowledge of computer applications essential (Work, Excel, Assess).
