Individuals for the position described would relieve office staff of minor administrative and business details, and provide general administrative support to Office of Training Programs and Administration staff.
General Administrative Support. The individuals for the positions are to provide administrative support such as copying, scanning, and filing documents; preparing documents and mailings; receive and sign for mail and package deliveries; deliver mail and packages; answering the main telephone line, answering basic questions, and directing more complex calls; document preparation and data entry using Microsoft 2010TM or higher suite of software. Performance of other administrative support and clerical duties may be assigned and/or required as well.
Building Services Support. The individuals for the positions are to provide support services to OTPA by greeting students, guests, and visitors; checking visitors in and preparing visitor passes; answering and transferring telephone calls; answering basic training program inquiries via email and phone; providing assistance in checking items in and out of the library; and unlock main entrance doors at 7:30 AM and lock main entrance doors at 4:30 PM daily.
Student Services Support. The individuals for the positions are to provide support services to OTPA by assisting with student registration and check-in; entering data into DOL’s learning management systems; verifying student roster enrollment information; assisting in classroom set-up and clean up, as needed; collecting, scanning, and processing test answer sheets and evaluation forms; assisting with reproduction efforts and preparation of course materials, as needed; fulfilling in-person and electronic loan requests for the library; and generating summary reports. Provide customer service, answering incoming inquiries and/or calls before and after webinars. Ensure coverage to answer or direct inquiries during webinars.
Individual works under minimal supervision; and are experienced with general office procedures and demonstrates good customer relations skills.
The individuals for the positions are to demonstrate strong proficiency with computers and Microsoft Office 2010 TM or higher suite of software, including Outlook, Word and Excel.
