FRONT DESK PROGRAM COORDINATOR

Under the general supervision of the Assistant Director for Counseling & Career Development, the incumbent is responsible for a wide variety of administrative duties that support and coordinate the daily operating functions of the Career Center. Responsibilities include over seeing the day-to-day operations of the front desk area and resource room; supervising student assistants and mentoring peer advisors; coordinating purchase and work order requests for the department; processing travel and reimbursements; maintaining equipment inventory; high level and volume scheduling of appointments and meeting spaces; over seeing workshop logistics and posting of workshops on electronic and print calendars; and providing administrative support to the Management Team and Director.
The budgeted hourly hiring range for this position is $17.83 - $19.01.
Minimum three (3) years of experience in administrative duties including prioritizing and organizational tasks, preparing and processing documents and materials in a high volume, fast paced environment.
Demonstrate excellent customer service while working with students, staff, faculty, employers, families, and community partners.
Ability to plan, organize and prioritize assignments to independently meet deadlines and complete tasks with a high degree of accuracy, under pressure of constant interruption while working with confidential information.
Experience with purchasing, purchase order processing, and receiving and reconciling invoices.
Proficiency with MS Office programs, Word, Excel and Outlook in particular.
Hired applicant must successfully pass a background check through the Department of Justice.
Experience working in a university environment.
Experience with Symplicity.
Experience with UCR authorized applications including ePay, eBuy, etc.
Experience with online Student Information System (SIS+) and/or Banner.
Supervisory experience, including scheduling, training, and customer service.
