This position is located in the Palo Alto, CA office. Your standard hour are to be determined.

Position Requirements:

* Three to five years of experience managing budgets and/or expenses preferably in a law firm or other professional services environment.
* Have a strong attention to detail and be proficient in Microsoft Outlook and Word.
* Must have intermediate to advanced skills in Microsoft Excel (use of lookup and PivotTable functions).
* Must have strong analytical skills and be comfortable summarizing and charting large data sets
* Experience with Elite Enterprise and/or any business process management software is preferred.
* Excellent communication (verbal and written) and interpersonal skills are required to interact with attorneys and international counterparts.
* Must have a strong attention to detail and be proficient in Microsoft Outlook and Word.

What will your day to day look like

Your responsibilities will be to:

* Ensure the complete, accurate and transparent communication of all of the parameters of the engagement to international counterparts (DLA offices and local counsel), including client-specific billing guidelines (discounts, payment risk and billing timeframes/deadlines).
* Gathers and records information needed to ensure attorneys receive referral credit and Liaise with international attorneys and/or finance counterparts to obtain accurate accrual and forecasting information for monthly client reporting.
* Follow-up frequently with international counterparts to ensure that engaged locations stay within budget and issues invoices timely.
* Troubleshoot issues with finance counterparts as needed and resolve complex billing issues using positive and professional communication. Review and provide feedback on invoice submissions from international offices.
* Manage the revision process to ensure that invoiced work fits within the client's billing guidelines and time frames. Verify that all information needed to process invoice is included.
* Analyze budget variances and provides feedback to attorneys. Identify work that is out of scope for the managing attorneys review.
* Interface with accounting teams (i.e., Client Accounting, DLA International Invoice Exchange, Inter Office Billing Unit) to facilitate approval of international invoices (if delegated by attorney). Communicates reasons for discounts (i.e., budget exceeded) and/or non-payment to international attorneys and/or finance counterparts.
* Develop proficiency with local accounting systems (ARCS, Elite Enterprise, Metastorm, Elite Business Intelligence, Redwood Analytics and various e-billing systems such as Tymetrix and Serengeti) to generate reports. May be responsible for updating databases for dashboard reporting.
* Prepare and manage complex spreadsheets/charts summarizing information about accrued/estimated global legal spend on a periodic (monthly/quarterly) basis for presentation to the client. Parameters can include but are not limited to fee/disbursement/tax information, discounts, and realization.
* Work closely with accounting/finance and other global GCFM staff to ensure compliance with client billing guidelines.
* Serve as a point of contact to provide accrual and forecasting information for local matters to Global Client Analysts based in other international offices.
