Job Description

Salem Health is a not-for-profit regional health system in Oregon's mid-Willamette Valley that includes Salem Hospital, along with West Valley Hospital, a critical-access hospital; Willamette Health Partners (medical group comprising primary-care and specialty practices), and other affiliated healthcare organizations. Salem Hospital, a Magnet®-recognized facility, is a regional referral center and one of the largest acute-care hospitals in Oregon. Our hospital is licensed for 454 acute care beds, and is guided by a 15-member volunteer Board of Trustees. The hospital is the city of Salem's largest private employer, with approximately 3,500 full and part-time employees.
Salem Hospital is seeking a dynamic, experienced, team-oriented and quality focused health information management (HIM) professional to assume the role of HIM ROI Workflow Coordinator. The coordinator is responsible for effectively and efficiently assisting with monitoring daily workflow between the Record Completion and Coding areas. This position is directly involved in the efficient and accurate day-to-day Release of Information operations at Salem Health. The coordinator works closely with the HIM Department Director, Record Completion Manager, Risk Management, Corporate Integrity and ROI outsource staff.

General Responsibilities:
* Functions as department liaison with ROI contracted vendor. Maintains current knowledge of Federal, State and facility regulations and rules governing release of patient health information. Partners with Risk Management and Corporate Integrity on legal or security requests. Resource for HIM team members. Promotes personal health record. Works with audit companies to schedule chart audits.
* Ability to locate the components that define the Salem Health legal health record. Maintains HIM historical archive database. Collaborates with leadership to ensure release of information compliance with federal laws, state laws, and relevant accreditation standards. Schedules auditor visits and assists in navigating them through the EHR. Actively supports personal health record by promoting it to our patients during their ROI experience.
* Assesses and determines daily workflow assignments for record completion area to include all three shifts. Assigns appropriate staff to areas needing coverage assistance. Prepares and maintains Record Completion staff coverage schedule.
* Daily work assignments are made to maintain 30hr turn around of assemble and analysis. Record completion staff schedules are completed every two week, showing coverage for PTO and projected workflow assignments.
* Supports DNFB stability by organizing weekly Coding chart pulls. Daily processing of completed patient records in queue 387.
* Performs daily analysis of DNFB status. Reports status to Record Completion Manager and Coding Manager. Makes recommendations for workflow changes as needed to support a stable DNFB target.
* Monitors work quality and performance in Record Completion area, as needed to assure department standards are consistently met. Trains and follows up on re-training as needed.
* Performs monthly audits of Record Completion processes. Reports audit findings to Record Completion manager for follow up. Updates Record Completion area training manual. Arranges competency exams to test knowledge. Reports findings to Record Completion manager.
* Works closely with Record Completion Manager on creating/implementing/maintaining Record completion policies and procedures, including Epic specific workflows.
* Serves as subject matter expert for Epic ROI module. Utilizes electronic health record system to its highest potential.
