JOB DUTIES:

The HR Analyst will serve as a Personnel/Payroll Coordinator and back-up Student Affairs officer for the department of Biological Chemistry (BC) under the supervision of the CAO.



HR Analyst will work with in coordination with other HR Analyst. Functions include: recruitment, compensation, onboarding, benefits, performance management, disciplinary actions, terminations and lay-offs. Including visa applications (J1, H1B, O-1, and Perm Res). Perform PTR, HBS, EDB and QDB, FPM functions on-line. Administer all aspects of the Postdoctoral Scholar Program. Attend various meetings with DGSOM HR Personnel, Graduate Division, Dean and Chancellor s office administrators, and respond to various public inquiries. HR Analyst will also be responsible for completing dossiers in a timely manner for Dean s Office review.



As the back-up Student Affairs Officer, Administrative Analyst helps manage all aspects of graduate student affairs including school relations, financial aid, admissions, degree and examination requirements, class scheduling and course actions. Prepare, convene and coordinate Graduate Student's Meetings. Identify and administer all financial aspects of the graduate program. Attend various meetings with Graduate Division, Dean and Chancellor s office administrators (with Program Advisors or alone), to represent the Biological Chemistry Graduate Program; and respond to various public inquiries. Process new hire for Graduate Student Researcher (GSR) and maintain and coordinate departmental courses and student files. Additionally, provide administrative support to the CAO and Graduate Advisors of the Graduate Program in the Department of Biological Chemistry.



JOB QUALIFICATIONS:



Required: Excellent oral and written communication skills to establish and maintain cooperative working relationships with faculty, staff, and students. Demonstrated ability to work independently and complete projects within specified deadlines. Demonstrated knowledge of affirmative action/equal opportunity guidelines. Demonstrated working knowledge of assembling and processing academic dossiers. Demonstrated knowledge in preparing and writing concise and logical memoranda and analytic reports. Skill and knowledge in operating HBS, PTR, FPM, QDB, UC Recruit. Working knowledge of Microsoft Word, Excel and Access programs. Ability to independently solve personnel problems as they arise. Demonstrated ability to interpret academic & staff personnel policies and procedures. Demonstrated ability to prioritize projects to meet scheduled deadlines. Ability to work under heavy workload, changing priorities and constant interruptions. Demonstrated ability to maintain confidentiality. Demonstrated knowledge and ability to process EDB transactions and other related university personnel/payroll forms. Demonstrated ability to work effectively as a team member. Mathematical skills to process salary and payroll matters. Knowledge of Personnel and Payroll Activity Reports. Knowledge of Academic Apprentice Personnel Policy and related forms. Dossier preparations.



Preferred: Demonstrated knowledge of UCLA Staff & Academic Personnel policies and procedures. Demonstrated knowledge of School of Medicine compensation plans. Working knowledge of the CALL.Demonstrated ability to process payroll for academics and staff following UCLA policies and procedures. Demonstrated knowledge of UCLA benefits programs.
