Job Description
Mathematica is a nationally recognized research organization that conducts social policy studies on health care, disability, education, welfare, nutrition, and related topics. With offices in Princeton NJ, Washington DC, Cambridge MA, Ann Arbor MI, Chicago IL, and Oakland CA, our mission is to improve public well-being by bringing the highest standards of quality, objectivity, and excellence to bear on the work we do for our clients, which include federal, state, and local government agencies, as well as private foundations.
We currently have an opening for a lease manager in our Princeton, NJ headquarters. As a member of our facilities team the successful candidate will be responsible for processing operational information and maintaining the integrity of lease and sublease information and processes, as well as act as a liaison between Mathematica, landlords, property managers and subtenants.
The qualified applicant will be responsible for a variety of tasks including:
- Ensuring the integrity of lease information entered into facilities software and ensuring that leases are properly administered and that Mathematica remains in full compliance with provisions of its leases or, in the case of subleases, that tenants remain in full compliance with the provisions of the sublease
- Abstracting all leases, track monthly rent payments and changes to rent and rent related costs and subtenant payments
- Reviewing and processing operating expense reconciliations and estimates and real estate tax billings. Notifying proper internal departments of changes
- Coordinating and facilitating operating expense audits with contracted audit firm
- Tracking lease options, letters of credit, security deposits, certificates of insurance, etc.
- Maintaining corporate vacancy data and producing reports as requested
- Maintaining space allocation data prepared monthly by site managers. Support facilities staff in the assignment or reassignment of offices based on corporate standards
- Preparing ad hoc reports and various analysis of lease activity and costs as requested
- Performing other duties including drafting correspondence or spreadsheets, filing, or any other leasing or facilities related tasks as required
- Bachelors degree in real estate management or business administration or the equivalent combination of education and experience from which comparable knowledge and skills have been acquired (property management, paralegal, contracts, etc.)
- Two to five years of work experience involving the use of real estate and/or facilities software
- Experience using Microsoft excel, Word, Outlook, etc.
- Excellent written and verbal skills along with the ability to deal tactfully and diplomatically with others
- Familiarity with lease management software is a plus
