Job Description

Position Title: Lease & Rental Coordinator FLSA Level: Hourly Department: Administrative Reports To: Office Manager Position Purpose: Responsible for all accounting aspects for Idealease. Maintains the vehicle inventory and monthly billing of all truck leases for the company. Essential Functions of the Job: * Processes truck lease orders. * Maintains all fuel documents that include the following: updates fuel spreadsheet daily, monitors daily the fuel Veederoot, and records all trip reports. * Processes monthly billing that includes: internal fuel, Nashville Lease, Nashville Contract Maintenance, Clarksville Lease, Murfreesboro Lease, Murfreesboro Rental, Murfreesboro Contract maintenance, and All National Accounts. * Checks the portal for open account invoices. * Updates portal for billing of all locations. * Sends mileage request to customers for billing. * Mails billing invoices to all locations. * Processes all mileage requests for monthly billing. * Updates Idealease location invoice billing spreadsheet. * Monthly reconciliations include: fleetcharge statement lease/rental, review registered units portal, balance sheet account rec., and the month end fuel report and Veederoot. * Maintains all lease vehicle reports the includes: county tag renewals, reviews certificates of insurance, Fedex trip reports to fleet services, creates and maintains unit files on all lease/rental equipment, application for highway use tax for new vehicles, application for tag county/IRP for new vehicles, processes check requests, closes POs on invoices, calls for repair to fuel pumps and Veederoot, billing to customers for damage/repairs, sends account statements and invoice copies by request, maintains lease and contract maintenance master files, and places orders with MPC. * Places orders with Idealease warehouse for supplies/stickers. * Please orders with Lowen (Decal by location). * Corrections for attendance punches for Murfreesboro. * Provides fleet service add/delete sheets (for trip report processing). * Verifies Master Lease/schedule A for Terry to sign then file. * Receives rejected trip reports from fleet services. * Reviews timesheets from Leasing Department. * Provides credit releases for all location/departments. * Processes vendor invoices for payment. * Reviews timesheets for Idealease for payroll. * Mails invoices for the Nashville location. * Pulls monthly mileage report for President s Club. * Responsible for Terry s signature for President s Club for Leasing. * Answers the overflow of phone calls in the department. * Ability to work with internal and external customers on a professional basis. * Assists in monthly closing of the books. * Ensures a professional appearance and a neat work environment for office staff. * Assists with annual parts physical inventory. * Any other duties that are assigned by management. Flexibility is necessary to meet the business needs of the company. Qualifications for the position: * 2 to 4 years of related experience and/or training in accounting; or equivalent combination of education and experience. * College education is desired, but not necessary. * Excellent communication skills internally and externally. * Be able to multi-task and meet deadlines, when necessary. * Possess the skills to promote and maintain a positive work environment. * PC skills required along with experience in Microsoft Word and Excel. * Ability to communicate effectively through use of e-mail. * Must be self-motivated and have good written and verbal communication skills. * Must conduct his / her self in a professional manner with internal and external customers. * Have the ability and flexibility to work other shifts for coverage of sick days or vacation relief. Physical Requirements of the Job: * Be able to stoop, bend, reach and lift up to 25 lbs. * Be able to sit at a desk for a period of time during the work day. * Be able to work in a hot, cold, dusty, or wet environment for a period of time. * Be able to communicate electroni

$14.00 to $16.00 per Hour (Salary Depends on Experience)
