The Manager, Procurement Project Services will be responsible for planning, organizing, directing/executing, budget management and timely completion of all assigned property expansions, renovations, and new construction FF&E and OS&E project installations. Depending upon complexity and scope, the Manager may manage a range 15-25 projects per year, with 8-12 running concurrently at various progress stages; with aggregated annualized values ranging from $7-$15 million. What will I be doing? The Manager, Procurement Project Services will serve as the liaison and single point of contact among internal and external resources, key stakeholders, and suppliers. The Team Member is responsible for the execution of FF&E and OS&E contract procurement projects, ensuring that each project is completed on-time and within the contracted budget. * Evaluate and streamline business processes to maximize efficiency and effectiveness within the department * Ensure that the overall execution of all FF&E projects are completed on-time and within the contracted budget * Serve as the liaison and single point of contact among the Brand, the property, HHC Design/ A&C, the Interior Designer, multiple Suppliers, Project Services and Strategic Sourcing * Assist in the formulation & implementation of improved processes and procedures in regard to HSM Supply Chain * Participate in meetings and discussions with Suppliers, Project Development, Design & Construction and Strategic Sourcing to create forward looking strategies and process improvements for future FF&E and OS&E projects * Align with Strategic Sourcing on new programs and/or renegotiation of existing programs with suppliers and/or manufacturers * Coordinate, conduct, and participate in meetings with internal and external departments, key stakeholders, and suppliers to develop project timelines and installation strategy * Establish priorities to manage workload, utilizing available direct and indirect resources * Manage the cross functional links between internal departments, external customers and suppliers * Manage and facilitate the required submittal and approval tracking and formal approval acknowledgement process between Supplier, Designer, General Contractor or related * Decision maker relative to verifying field measurements, shop drawings, finish or full scale samples, strikes, cfa. with emphasis on timeliness being of the essence * Responsible for content accuracy converting info from these sources to its data entry into HSM proprietary project management software application (Birchstreet SMPS) * Ensure design specifications meet brand standard compliance * Facilitate the execution and Supplier acknowledgement of acceptance process for all supplier purchase orders along with managing the PO fulfillment/expediting process * Communicate all information in a timely manner to internal departments, external customers and suppliers * Foster an environment that supports and encourages personal and professional growth by providing individualized continuous training and development for Project Coordinators, where applicable * Ensure that the overall execution of each FF&E and OS&E project is completed on-time and within the contracted budget * Manage the reconciliation of the project in accordance with the department policies and procedures * Confirm & update the logistics/proof of delivery activity by line item as to enable accurate & timely Project Status Reports * Follow proper controls and available reminder/awareness utilities to ensure that project benchmarks, milestones and commitments are met and in conjunction with prescribed Policies and Procedures * Depending on complexity and scope of each project, an individual management responsibility may range from 15-25 projects per year, with 7-12 running concurrently at various progress stages; with aggregated annualized values ranging from $7-$15 million * Perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company * Travel to property and/or supplier sites * Assist the Director/Senior Manager with department objectives * Work within a flexible resource model, which may include providing interim lateral support to peers or assume other projects based upon present workload and capacity * Prepare project status reports, in accordance with our department policies and procedures * Assist customers with filing damaged or lost product freight claims * Research and resolve any project related discrepancies and disputes * Any and all other job duties as assigned Hilton World Wide Inc. is acting as an Employment Agency in relation to this vacancy.
