Job Description

Office Manager/ Executive Administrative Assistant-

Regional Office Coordinator Responsibilities-
Input, issue, track and close all purchase orders through the SAP system. Coordinate and interact with BLI and Corporate operations, as appropriate. Oversee the site P-Card (expense purchasing outside of SAP) program. Track Capital expenditures versus quarterly budgets. Ensure that all site invoices and purchase orders are reconciled in a timely manner and communicated to corporate operations in Irvine.
Function as primary contact for servicing and coordinating activities involved with computers, telephones, office equipment and furniture. Function as primary contact / user for procurement via SAP and generate monthly and quarterly reports for each functional group leader. Assist in budget and quarterly forecast preparation / review. Utilize and provide assistance with the site controlled document system (Documentum).
Ensure that visitors are directed to the proper contact. Ensure that office and administrative areas are stocked, cleaned and maintained with professional discipline.

Minimum Requirements-
Essential Skills and Abilities
•Good written and verbal communication skills.
•Accepts responsibility for tasks and actions.
•Uses a systematic approach to problem solving.
•Ability to handle a wide variety of tasks under short time constraints.
•Ability to consistently deliver, high quality results.
•Independent worker and comfortable working in a environment with minimal supervision.
•Ability to work in a Windows computer environment.
•FDA/Regulatory experience and familiarity, preferred.
•Experience with SAP, preferred.
•Expert with MS Excel, Power Point and the creation of detailed presentations, preferred.
•Experience with Documentum, is a plus.
•Experience with budgets, financial reports and forecasting, is a plus.
•Experience with event planning, is a plus.

Education and Experience:
Experience or equivalent to a two year degree in business administration
6- 8 years experience as an Administrative Assistant
