ICF's Web site isw.icfi.com.Job Description:Reporting to the Deputy Chief of Party (DCOP)/Operations, the Office Manager will be responsible for the follow tasks, and any other assigned by his/her supervisor.This job description assumes that an outsourced accounting agency will facilitate the recording and processing of payroll, tax filing requirements including VAT, payroll and corporate income tax, and the fulfillment of all statutory reporting obligations. This outsourced agency will also facilitate the provision of certain corporate reporting requirements to the UK based international accounting team.Key Responsibilities:Administrative Office and Project Support:. Provide logistical support for all meetings and training in Bangkok and in the region, as requested. Manage the process for the effective organization of workshops, including identifying venue and negotiating all necessary logistics including conference rooms and hotel reservations for participants, preparation of conference kits, IDs, etc.. Make travel arrangements for project staff travel, in Thailand and in the region. Obtain quotations and negotiate contracts with suppliers, vendors, contractors and service providers to make sure the best prices/goods are procured. Manage the office administrative staff. Ensure the office is well managed, fully supplied, and organizedFinance and Accounting Support:The Office Manager will provide day to day accounting support.. Accounts Payable/Supplier Invoices, Expense Reportso Ensure appropriate authorization of documentso Review local expense reports to ensure they are properly completed and appropriate documentation is attachedo Correct coding of expenses, either to the Ledger/Chart of Accounts with the local accountants, or to the project or other business unito Ensure documents are authorized for paymento Track local subcontractors' invoiceso Manage entry of vendor invoices to CostPoint. Banking/Treasuryo Prepare payment list of invoices to be paido Create check or bank transferso Maintain petty cash reconciliationso Prepare Monthly Cashflow forecast for DCOP/Operations to be forwarded to the Treasury Department. Monthly payrollo Review monthly payroll with Corporate HQ and DCOPo Submit monthly payroll to payroll bureau. Othero Draft budgets and financial reports and other funds disbursement for workshops and eventso Maintain the local procurement fileso Maintain inventory tracker for projecto Keep copies of all VAT Returns and any other Statutory filingso Keep copies of all service agreements i.e. rental lease, utility agreements etc
