Job Description

Salem Health is a not-for-profit regional health system in Oregons mid-Willamette Valley that includes Salem Hospital, along with West Valley Hospital, a critical-access hospital; Willamette Health Partners (medical group comprising primary-care and specialty practices), and other affiliated healthcare organizations. Salem Hospital, a Magnet -recognized facility, is a regional referral center and one of the largest acute-care hospitals in Oregon. Our hospital is licensed for 454 acute care beds, and is guided by a 15-member volunteer Board of Trustees. The hospital is the city of Salems largest private employer, with approximately 3,500 full and part-time employees. Salem Hospital is seeking a dynamic, experienced, team-oriented and quality focused professional to assume the role of Workflow Coordinator. The Coordinator is responsible for providing logistical, documentation and communications support for the Project Management Office (PMO) at Salem Health. The Coordinator will be knowledgeable in principles of project management and will provide project support to projects assigned to the PMO. This person will provide for the effective and timely flow of information and other work between the PMO and the organization at large. The Coordinator assists in the development and maintenance of PMO tools and other infrastructure needed to support information sharing, project management and progress-tracking needs of the PMO. General Responsibilities: * Works with the PMO and VP Kaizen to identify needed tools for tracking flow of critical information and independently develops and implements tools. * Creates new procedures (standard work) and forms for the organization as directed by the PMO. * Maintains communications between the PMO, Project Leadership, and the organization at large through maintaining and improving PMO-related SharePoint sites and other electronic communication venues; communicating general PMO information via email and internal shared drives; establishing shared user spaces and maintaining documents within; and, communicating with project leaders to assure timely reporting and follow-up on project plans. * Maintains online status updates. * Participates in department-specific quality improvement through recognition of project management inefficiencies, participating in development, implementation and follow-up of resolutions, including interdepartmental collaboration. * Works independently with parties inside and outside the department to organize the various components needed to initiate, run, and conclude projects tracking and reporting and documenting progress and results. * Completes assigned work on a multi-functional team by researching issues, summarizing information and working with relevant stakeholders to make decisions and achieve desired ends effectively and efficiently. Identifies and recommends approaches leading to the most effective means of solving issues. * Supports the function of the PMO Manager, as well as the team of project managers, assisting with administrative tasks and projects as assigned. * Establishes and maintains PMO calendars, and tracking tools for the organization. Coordinates calendars for participants with their administrative assistants and works to resolve scheduling conflicts as they arise. * Assists the Manager and VP Kaizen in developing operating and capital budgets. Tracks and reports operating expenses. * Serves the PMO as a general resource on projects including administrative activities, event planning, project logistics and other support tasks as assigned. * Coordinates work among other administrative staff supporting the PMO, project management and event implementation. * Inputs and manages PMO data in the payroll system for PMO Manager approval.
