The Policy Administration Associate performs updates of premium information at the member level per request of the customer and refunds unearned premium in a timely and accurate manner within documented procedures. The PAA performs routine and complex general accounting functions to provide for accurate recording and reporting of company financial information and timely, accurate disbursements. The Associate provides service to internal and external customers through professional and timely communications.
Contribute to the company s success through excellent customer service and meeting or exceeding performance objectives for the following major job functions. Roles will be dependent on assignment within current segregation of duties controls. All roles are expected to provide superb customer service as they will directly contribute to the customer experience through regular, transactional contact. All roles are responsible for adherence to established financial controls.
Poster: Input direct entries from the Cash Clearing, Conditional Receipts Clearing, and Wire Transfer accounts to provide for timely and accurate processing of customer payments. Communicate any deficiencies to the Premium Support administration Specialist and the Accounting Specialist positions. Monitor input for restrictions applicable to specific accounts and transactions.
Refunder: Refund to the customer in an accurate and timely manner any unearned premium received due to over payments, processing errors or policy changes. Adhere to established controls within the process by obtaining proper authorizations. Work with the policyholder, service and risk teams, field offices, commissions and/or corporate accounting to resolve issues requiring refunds.
Member Maintenance: Update all required systems with additions, changes and terminations of insured at the employee level based on information received from the policyholder. Monitor and resolve issues on update reports.
Maintain working relationships with policy holders, brokers, third party administrators (TPAs), field force and home office staff through proactive communication and problem resolution related to refunding or member maintenance.
Participate in department projects and special assignments as assigned.
Education: High School Diploma or equivalent. Completed courses in Accounting preferred.
Experience: One to two years relevant work experience including demonstrated customer service skills in a high production environment, accounting system reconciliation or accounts receivable; or the equivalent combination of education and/or relevant experience.
Demonstrated Skills: Ability to perform detailed data entry and basic math functions with a high level of accuracy, provide superior customer service, plan and prioritize work to meet multiple deadlines, problem solve, work effectively within a team, and express ideas clearly orally and in writing, both in group and individual settings.
Ability to: Apply general accounting principles to analyze and process accounting transaction; work within a high volume transaction environment; operate within a defined process and with understanding of authority levels.
Working Knowledge Of: Group contracts and products, billing support systems and spreadsheet applications
Advanced Knowledge Of: 10-key, customer service skills by phone
